The Advancement Assistant will be a member of the Advancement Team working also in partnership with the Advancement Services Coordinator, Alumni Programme Coordinator and the Communications & Marketing Team.
The ideal candidate will be creative, exceptionally organised and will approach all teamwork collaboratively and with a desire to provide the best service possible.
The Advancement Assistant will support our Events Coordinator and our Philanthropy Manager with our exciting programme for this very special year.
Responsibilities:
In general to support the Advancement Director and team as required in delivering the goals of the Advancement Programme with special responsibilities for Events and Philanthropy Projects.
This year, UNIS Hanoi is celebrating its 35th Year of Learning to Inspire! It is a year in which our community has planned many events to celebrate. The focus for this maternity cover will be predominantly on successful event delivery for our community.
Specifically tasks will include (but not limited to):
Event Support
Reporting to the Events Coordinator, help coordinate all Events from concept and logistics planning, through to delivery, follow up and success data gathering:
Ensuring sustainability initiatives/checklist is followed in all event delivery to reduce the environmental impact of our events.
Assist with Advancement tender briefs and research for events as directed.
Coordinate all clerical support for events working with Procurement, outside vendors, Business Office and Operations. This will include providing vendor support before and during events, and providing detailed work orders for event set up etc.
Help coordinate and manage follow up ongoing for all event arrangements with third party vendors both on campus and off-site.
Managing event resources (decorations, plates etc) in the Advancement Storage facilities.
Ensuring post-event follow up is completed.
Ordering and gathering of supplies, catering arrangements, work orders, supervising operations set up and break down.
Philanthropy Projects Support
Reporting to the Philanthropy Manager, help with the logistics and admin support for all projects when required relating to our Philanthropy programme, including the curation of our UNIS Cultural Collection and the creation of UNIS Botanical Garden learning resource.
Department Clerical Support
Business office liaison to process all necessary procurement requests, IRFs and invoices etc.
Ensure the office remains a professional space at all times.
Assist with routine office paperwork as required by the team, for example petty cash and expenses claims
