Department: Human Resources
Reporting to: HR Solutions Lead, South East Asia
Working location: Binh Duong Plant
A. General job scope:
•Ensure the delivery of HR people services which includes, but is not limited to HR operations management of the hire-to-retire processes across both the Hung Yen Plant and Binh Duong Plant including the Sales Office South based in HCMC Office.
•Lead and deliver global and regional HR projects for Vietnam, involving the enhancement of people service delivery, compliance processes, alignment to global HR models and locally, where there is a requirement. To manage delivery in different roles from Subject Matter Expert to Project Lead.
•Team lead the HR Solutions Plant Coordinators in Hung Yen Plant and Binh Duong Plant, including the HR Solutions Sales Coordinator in HCMC Office by guiding them in day to day deliverables, coaching and development of capabilities and career development
•Partner closely with the business, namely ISC HR Lead, Plant HR Managers, associated HR colleagues and the Plant Management team to ensure delivery excellence of HR people services at the plant, ensuring that support is provided and quality delivery by the HR Solutions team is consistently provided.
•Maintain oversight to ensure compliance to statutory requirements, collective labour agreements and company policies. This is connected to ensuring there are no negative audits, external challenges from labour department, income tax authorities or social health insurance
B. Main responsibilities:
a.Delivery of HR People Services at Plants
•To manage a team focused on Blue Collar (Core) colleagues with light touch support for plant White Collar (Non-Core) colleagues in hire-to-retire processes
•Identify challenges with business as usual processes and to support the team in identifying corrective measures that would meet the requirements of the business, while not creating compliance challenges or expanding significantly the scope of the Plant Coordinators
•To govern and ensure that the HR model and ways of working between IBS, HR Solutions, HRBPs, and the business are maintained.
•To identify show stoppers, process gaps and behaviours that are challenges for the delivery and new ways of working impacting HR Solutions team. To engage with the relevant parties, and determine root cause and solution.
•To identify areas of opportunity in Binh Duong Plant and Hung Yen Plant where HR Solutions can add value, for example in Blue Collar (Core) colleague recruitment, Employee Relations, in line with the SEA HR Solutions Plant Coordinator job description / HR ways of working. To determine effort, scope of work and how to absorb the tasks into HR Solutions in discussion with the business.
•To ensure the team’s timely delivery, obtain signatories of all letters for Blue Collar (Core) colleagues employee movements; new hire, termination, severance, promotion, lateral move, disciplinary, insurance related etc.
•To ensure that the claims procedure with medical insurance provider delivers correct and timely reimbursement of all medical claims and bills
•To ensure the team’s timely update employee data change to Social Health Unemployment Insurance Specialist
b.Partnership with IBS driving service delivery
•To partner closely with shared services centre leads to ensure the timely and accurate service delivery
•Maintain regular engagement with the service centre leads through 1:1 meetings to discuss progress on issues, gaps and measures to be taken
•Track service errors and misses impacting the local business by maintaining an issue log
•Follow up on all errors and misses until resolution and to ensure that a root cause assessment is performed with a clear plan to address the problem
•To participate in solution development with on ground knowledge and in collaboration with local stakeholders and IBS leads
•Develop a strong relationship with the IBS leads and the service centre to ensure a collaborative approach to issue resolution towards service delivery excellence
c.Partnership with the business
•To be a strong partner to the business, in particular; the ISC HR Lead and Plant HR Managers.
•Maintain regular engagement with the ISC HR Lead and Plant HR Managers through 1:1 meetings to discuss requirements of the plant, support needed from the HR Solutions team, our team performance, development opportunities for the team, gaps that need to be addressed and joint solutioning of the gaps
•In partnership with the business, to understand the future goals, strategy of the plant and to identify areas where HR Solutions can support the realisation of these goals
•To ensure at least once quarterly engagement with the Plant Leadership Team and to be a recognised and visible HR partner for execution matters
d.Team management
•To regularly engage the team in Hung Yen Plant, Binh Duong Plant and HCMC Office locations on business as usual work, gaps and challenges, provide needed support and guidance to ensure timely and quality delivery by understanding their challenges and cross checking with the business and their needs and delivery challenge areas
•Position location is in Binh Duong Plant while visiting HCMC Office regularly. Time spent at both sites should be 50/50 basis to ensure onsite support to our teams. However, on a needs basis, more time may be required at Binh Duong Plant where the majority of the stakeholders/work/attention is required. To travel to Hung Yen Plant on a quarterly basis to meet with the team and the business to check in.
•Provide the team with clear goals and objectives
•Ensure that goals and objectives are aligned with the SEA HR Solutions goals and objectives and there is a clear timetable to delivering various objectives
•To spend the needed time to understand and develop our team to meet their career goals and aspirations. In doing so, to fully understand their needs and career goals while providing sound advice on clear next steps and discussing opportunities for development with other HR stakeholders at the plant.
•To identify where there are obstacles for the team and to work with the relevant parties to remove the obstacles or to manage them
e.Compliance & regulatory matters, adherence to company policies
•Ensure no violation against Local Regulation, Global Policy, Company Policy and procedure by monitoring and ensuring all letters and labour requirements related to SHUI or PIT are met on time and tracked to closure
•Ensure that any findings relating to labour statues and SMETA violation are escalated in a timely manner to the Plant HR Manager and communicated to Cluster Leads to correct it as needed and to set a reminder to respective department head
•Ensure that employees and union members are communicated to on company policy including being involved in the negotiation process with employees/union to have deep understanding on how the decision is made
•Ensure timely distribution of government related forms and documents to employees
•Train and support the HR Solutions Plant coordinators to explain company policy matters, timekeeping or payroll
•Ensure team’s compliance to Mondelez code of conduct and values
f.Audit support and Plant reporting needs
•To support the plant coordinators to determine the audit requirements and to provide guidance in terms of provision of information to auditors, managing any gaps arising and to front the discussions with the auditors together with the plant coordinators
•To ensure plant coordinators are taking preventive measures and always have a compliant approach to managing documentation that are important for audits
•Ensure support for audits where employee data, supporting documentation, timekeeping data is required. Ensuring all documentation is available and complete.
•To understand plant reporting requirements for Blue Collar (Core) colleagues, example, involving people cost, headcount, OT reporting and other people cost related reports, time and attendance reporting. To support the plant coordinators in ensuring its delivery as required by the business by being a reference point and a reviewer of the data provided
g.Project delivery
•To lead or manage part-of or to support the delivery of projects mandated globally, regionally, by HR Solutions or by local ISC HR. (All projects within HR Solutions scope will be determined by HR Solutions leadership in agreement with the relevant stakeholders)
•To lead the delivery of legacy p-filing project, where the objective is to sort and inventorize, confirm and identify key documents needed for audit/legal/compliance needs, for the purpose of any legal or audit purposes within the 10 year retention period from date of leaving.
•To lead Projects for Vietnam together with the assigned project lead, as an SME for Blue Collar (Core) colleagues plant HR hire-to-retire processes. To also be a local change champion and ensure that all engagement and adoption communications and training strategy, plans and execution are aligned locally and delivered successfully
•Other projects as identified

Yêu cầu công việc


•University degree or equivalent in HRM or Business Administration
•Understanding of labour law and statutory requirements
•Team leadership with demonstrated people development abilities
•Able stakeholder manager for mid to senior level HR stakeholders
•Experienced in HR service delivery/operations
•Experienced in project delivery, preferably HR transformation.
•Demonstrated ability to manage a role delivering both BAU and projects
•Attention to detail and process driven
•Excellent written and verbal communication skills
