Sales Management
•Building and maintaining working relationships with internal and external partners, and leverage these relationships to deliver innovative and memorable events.
•Manage Sales Team in Phu Quoc as below details task.
-Taking responsibility for Site inspection of all potential clients assigned by Sales in HN & HCMC.
- Sending daily Banquet forecast report to Sales team & Production file at the end of the month.
- Following up the contracts (receiving the contract from Sales/guests & submitting to so DOSM to sign, doing stamp on it & sending it back to Sales/ guests..).
- Preparing the proposal quote of simple Events/Meeting (without rooms) for guests via email/phone.
Before the actual event:
- Making the Banquet Event Order for small & simple events/meetings to send all departments.
- Taking care of any requirements (set-up style, menu, …) from Mice groups.
- Supporting Head sales from HCM /HN to check any requests with operation teams & block functions on Banquet Forecast.
- Finalizing amount (Pro-forma invoice) & Chasing payment with the organizer of TA/ the end-user as instruction from Sales Team in Hanoi & HCM.
- Updating changes of Mice groups to relating departments after receiving hand-over groups from Sales HCM/HN.
- Attending BEO meeting before Group coming to make sure all related Departments be aware of Group’s requirement.
During the actual event:
-Welcoming & saying goodbye to Mice groups at the lobby.
After the event:
-Making Contract liquidation and coordinate with other related Departments to make sure all bills are correct to send to client.
Communications and Customer Relationship Management
•Meeting with clients regularly onsite, and often conduct tours of the event facility to make sure all inquirement are matched.
•Providing accurate and timely information to clients, vendors, and meeting planners.
•Focusing on improving customer satisfaction to create customer loyalty and deliver a positive event experience.
Event:
Work closely with Food and Beverage Department to:
•Taking responsible for all elements of event planning, including identifying event logistics and negotiating contracts
•Coordinating event logistics, proactively communicate event information, and set clear expectations for event delivery (manage event set up, tear down, and follow up processes) & conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
•Working well under pressure, are able to manage multiple activities simultaneously, and re-prioritize efforts when plans change or the need arises.
•Preparing detailed event reports, including cost projections and other financial metrics.
•Analyzing and reconciling disparate event details, and consolidate the information into actionable event plans.
•Working and consulting F&B Team if Guest have any comment regarding to Menu, Set up... to provide the best service to Guest’s needs.
Working & negotiating with Event supplier to make sure Resort can get the best rate & event services and update to Sales in Hanoi & Ho Chi Minh.
