Mô tả công việc

• Attend all project meetings, prepare and distribute minutes of meetings;
• Research and translate regulatory documents related to projects.
• Facilitate communication between Design Managers and Clients, Subcontractors, other consultants and local authorities;
• Prepare correspondence as directed by Design Managers including written and verbal translations as required.
• Provide support for document submissions including document transmittals, ensuring appropriate number of copies, coordinate with printers, compiling and translating submission reports and briefs.
• Prepare project documents upon project close out for archiving including cleaning files and shredding unnecessary paperwork.
• Control the timesheets for the Project Assistants, and advise the Design Director regarding the workload of the Project Assistants and assignment of Project Assistants to project teams.
• Provide the assistance to Design Managers in their design contract administration of specific projects ensuring accurate knowledge of the terms of each contract.
• Maintain the project archive in such a way as to ensure the easy retrieval of archived file, and to be the person responsible for the retrieval of archived files.
• Organize weekly design meeting and take accurate minutes, and ensure the minutes are distributed in a timely manner.
• Responsible for interviewing candidates for the position of Project Assistant, and training new appointments upon commencement regarding the appropriate systems and processes.
• Ensure timely delivery of submissions, control and file receipts.
• Monitor design schedule and approval process, initiate payment requests (in relation with ACC & FIN Dpt.);
• Act as contact person for issues related to design contract administration.
• Fully understand and follow all Archetype&039;s design procedures including document filing standards, and maintaining filing procedures and systems (both hardcopy and softcopy)

• Make recommendations regarding the appointment of new Project Assistants.
• Make recommendation regarding the allocation of Project Assistants to project teams.
• Provide direction to the finance department regarding the invoicing of projects.

Yêu cầu công việc

• Advanced knowledge of Microsoft Office Suite and Open Office.
• Advanced written and verbal English language skills.
• Advanced time management and organizational skills, with the ability to schedule the time of others and maintain excellent records filing and archiving systems.
• Years of experience: Senior Project Assistant – a minimum of 3 years experience in a similar role in the same industry; Project Administration Manager – a minimum of 5 years experience in a similar role in the same industry.
• Degree qualifications in English, Business Administration.
