Job overview
• Provide a smooth co-ordination and administrative service for Sales team to assist with all revenue generating activities at the Resort
Financial returns
Duties and responsibilities
At InterContinental Hotels & Resorts, we look for people who are charming, confident, and internationally-minded; people who know what it takes to exceed guest expectations.
• Work closely with remote Sales Office in Saigon – Hanoi, Guest Services Department, F&B Department and HR Department to ensure a smooth & timely completion of all tasks.
• Ensure all reports & database are uploaded properly in Opera, Salesforce & WOT.
• Coordinate with trainees/coordinators from Saigon office and on-site to complete all paperwork preparation & submission assigned by Sales Team and DOSM.
• Understand department’s requirements and Resort product, and upsell to the guest, or recommend Resort products to the guest.
• Assist DOSM - Wholesale team & Events team in handling all assigned paperwork including but not limited to: proposal preparation, update inquiries on Salesforce, contract preparation, site inspection preparation and related sales activities assigned by superiors.
• Stock control of collaterals & department’s stationary.
People
• Train and help new associates & interns on related tasks.
• Participate in all trainings assigned by supervisor including English training and job skills training
• Perform/behave as per IHG Winning Ways to other colleagues (within your department and toward other departments).
• Follow up with related personnel to complete the assignment from Supervisor.
• Prepare all administration documents required by the Resort sales team
• Be always impeccably groomed to represent the Resort in a professional manner.
Guest experience
• Handle office phone calls – social media & email inquiries in a timely and efficient manner.
• Handle guest’s requests, or escalate to higher levels and/or relate departments if necessary
• Attend to all sales department mail and maintain a correspondence database.
• Drive buggy safely after being certified and be responsible for protecting this asset in good conditions.
• Perform Brand’s Services behaviors in daily operation towards the guests
• Co-ordinate all familiarizations and site inspections as required by supervisors.
• Ensure a proper first communication to all business inquiries and correctly assign new inquiries to the right Salesperson to handle.
• Share guest feedback to supervisors.
Responsible business
• Rotate the roles (cross training) within department when required.
• Be responsible in keeping our property safe and secure, to participate in any resort activity related to Fire Life safety.
• Coordinate & attend all sales meetings.
• Be responsible in protecting the environment such as the trees, the sea, and the special species.
• Understand IHG Brand Standard related to your department.
• Co-ordinate and maintain supply of corporate gifts and promotional items.
• Perform any other duties which may be assigned by the management from time to time.
• Join all Resort activities organized by HR and management.

Qualifications and requirements
Required skills:
• Excellent inter-personal skill and organizational skill
• Proficiency in MS-Office (Word-Excel-PowerPoint) with preferred experience in PMS and Sales & Catering system like Opera, Fidelio, Delphi
• Upper-intermediate level in English communication & fluent Vietnamese; experience in business writings is an advantage
Qualifications:
• Diploma/Vocational Certificate/Bachelor Degree in Hospitality/Tourism/Business Management. Related fields: English as a Foreign Language/Marketing.
Experience:
• Internship/Trainee experience at a 4-5 international property is an advantage
• Preferably 1 year experience in an equivalent professional property/corporation
Key Relationships
• Internal Relationships: Resort Employees and Corporate
• External Relationships: Interacts with guests and individuals outside the resort including, but not limited to, current and potential clients, owning company representatives, suppliers, competitors and other members of the local community
