The mission is to be the contact point for customer ordering and deliveries. The Logistics Officer must receive and register orders into the ERP system and then organize the deliveries to South Vietnam customers based on optimal distribution plan while minimizing the costs, taking into account legal and operational constraints and achieving high standards of safety, efficiency and customer satisfication. The Cylinder Dispatcher also maintains the customer and transport data in the routing tool to ensure accurate and efficience use of the tool.
Receives and creates customer and distributor orders
Ensures a reliable order setting to avoid errors in deliveries or invoices
Attends customer calls in a polite and warm way, analyses the customer demand
Creates the orders received from different channels (phone, email, etc.)
Advises the customers on their orders and deliveries
Understands customer needs, proposing to them the best solution to match their requirements.
Checks order consistency and is familiar with historical data and customer agreements, to avoid unnecessary deliveries and costs
Informs customers of additional services and fees if required such as express deliveries
Co-ordinates and transfers information to Sales team when required for complex issues
Organizes the deliveries to clients and distributors
Checks customer orders, modifies them when needed and validates them
Optimizes the trips with a routing tool respecting safety, legal constraints and customer satisfaction
Checks remote-monitored installations and trigger deliveries when needed
Improves the safety, quality and efficiency of the distribution
Ensures the respect of transportation regulations and AL&039;s safety standards
Proposes solutions and implements them in coordination with the filling station and sales team
Monitors operational KPI for improvement and Reduces the non-quality costs
Identifies improvement fields by simulating new dispatch schemes with the routing tool
Identifies transport and delivery non-compliances and transfers them to the HSE manager
Monitors indicators and controls the execution of distribution
Analyzes gaps and works with related parties to mitigate
Checks the consistency between transport invoices, planning and execution to make sure invoicing matches orders and execution
Controls trip return data and transport invoicing data implementation in the system
Exports data for monthly reporting and analysis for related departments
