Job title: Student Activities & Events Officer
Report to: Student Experience, Placements and Alumni Manager
Job Objectives:
The Student Activities & Events Officer is responsible to support management and operations of Students’ Extracurricular activities, Student clubs and associations, and social events. He or she is to liaise with the Student Experience Manager on all activities and events to ensure the smooth and efficient operations and maximise the engagement of students to BUV Events and Clubs & Societies to build a strong student community and network. The position is also responsible to provide an excellent customer service to our students, provide consultation and training where necessary, and actively engage with external organisations to bring outreach opportunities for students. The role is subject to change depending on the needs of the University
Key responsibilities:
1.Events and Student Activities
Prepare, organise and execute annual extracurricular activities, student’s events and competitions in accordance with the approved academic calendar for BUV students community
Plan, coordinate, manage and oversee various student activities, events and functions, including students-run, Department-run or external events
Manage, advise, consult all students’ clubs in operations (establishment, member recruitment, administration, board of management, weekly meetings and activities…) as well as planning events and implementation
Provide advice and training where necessary to students’ societies and clubs when there are any event and project proposal, review students’ proposal and funding request to make sure students are supported but strictly follow the policies and procedures
Organise and oversee a number of extra-curricular classes and short courses to equip students with more language skills, hard skills and well-being enhancement
Plan and conduct talks and workshops, contact guest speakers if necessary and prepare logistics for workshops and events on topics related to necessary soft skills and personal development
Coordinate and liaise with external organisations interested to provide services and organise various promotions or events for the students in the University or seek for sponsorship and support from SE Department
Maintain an accurate and updated database system related to student extra-curricular activities.
Act as point of contact to the Students Association Committee, clubs & societies of the University whenever required and ensure that the programmes and activities meet the needs of the student body
Ensure timely responses and excellent customer services to a variety of written requests from students, parents and partners for information relating to students’ and social activities via telephone, correspondence and/or electronic mail
Ensure accurate and timely update of information about students’ activities, achievements, awards and highlights of BUV events via Website, Facebook and Notice Boards.
2. Others
Assist the department to build a strong network with Alumni via organising and engaging in networking events, periodically events for alumni and support annual alumni dinner
Update the report to SE Manager on all students’ activities, social events and sponsorship/cooperation and developments on a weekly basis
Ensure that all activities organised adhere to established policies, procedures, rules and regulations related to student activities and affairs
Participate in the implementation of policies and procedures for extra- curricular activities and events
Assist to manage the expenditure within the approved budget
Assist manager in preparing periodic reports and newsletter updates for Management and the University
Assist the Academic/SE Department in other areas when the need arises
