Contracting Specialist

Job context: The Contracting specialist is responsible for issuing, maintaining, extending suppliers contract to ensure legal perspective, timely, and reliable contract flow of the company. This role plays a critical part in building internal/ external relationships of the company.
SCOPE OF THE JOB:
- Report to extend / terminate contract automatically to leaders.
- Response and/or update contract progress to related parties.
- Saving hard copies of contract carefully.
- Prepare carefully contract articles follow the Company policies and Vietnam regulation
- Internal Coordination with Sourcing specialists to prepare contract
- Maintain Frame contract data on SAP
Key responsibilities:
Internal Coordination
• Work closely with Sourcing Specialists to gather requirements, align contract terms, and ensure seamless preparation of contracts.
Contract Preparation
• Draft contract articles with precision, incorporating company policies and adhering to Vietnam’s legal and regulatory framework. Review contracts to mitigate risks and ensure clarity.
Data Management
• Configure and utilize automated systems to generate reports on contract statuses, including notifications for extensions or terminations, and submit them to leadership in a timely manner.
Reporting
• Prepare supplier consolidation strategies
• Study and improve sourcing strategy to optimize cost, lead time and sustainability
Stakeholder Communication
• Respond promptly to inquiries from internal and external parties regarding contract progress. Provide updates and ensure all relevant stakeholders are informed throughout the contract lifecycle.
Document Management
• Organize and securely store hard copies of contracts in accordance with company protocols, ensuring compliance with record- keeping standards and facilitating audits when required
