Documentation Clerk

Position Summary:
The Documentation Clerk is responsible for managing import and export documentation to ensure compliance with customs regulations and company policies. This role works closely with customs authorities, port officials, forwarders, and internal teams to facilitate smooth clearance and timely delivery of goods. It also involves tracking shipments, maintaining accurate records, and staying updated on regulatory changes to support efficient logistics operations.
Key Responsibilities:
Negotiate with logistics service providers to optimize transportation costs and delivery timelines.
Maintain records, store documents, and prepare periodic reports related to import and export activities.
Carry out customs procedures for export and import goods
Support other related tasks as assigned by management.
Monitor order progress and shipping schedules; coordinate with the warehouse and production departments to arrange timely deliveries.
Liaise directly with Customs agencies, Port Authorities, and Forwarders to manage customs clearance and goods transportation.
Draft and verify import and export documents such as Invoices, Packing Lists, Contracts, Certificates of Origin (CO), and Certificates of Quality (CQ), if applicable.
Stay updated on new customs, import, and export regulations and advise management as necessary.

What Will Make You Successful:
Strong understanding of customs procedures and relevant legal regulations.
Proficiency in MS Office (Excel, Word); experience with customs declaration software is a plus.
Basic English skills, with the ability to read and understand documents.
Good interpersonal communication skills and a strong sense of teamwork.
Detail- oriented, proactive, responsible, and able to work under high pressure.
Minimum 2 years of experience in import- export, preferably in the metal industry or industrial manufacturing.
A degree in Import- Export, Foreign Trade, International Economics, Logistics, or a related field.
