General Administration & Office Services
Manage the corporate seal system, incoming/outgoing official correspondence, and the filing of legal documents.
Serve as the primary contact for the building management unit to ensure the quality of utility services and office cleanliness.
Manage and process payments for recurring operational expenses: building rent, electricity, water, telephone, internet, and office supplies.
Draft, issue, and regularly update administrative documents, regulations, and internal operating procedures.
Events
Take responsibility for legal procedures and Work Visa applications for employees assigned to work at overseas branches.
Directly manage the vehicle fleet and drivers; coordinate vehicle schedules to ensure timely support for business needs.
Organize and provide travel arrangements for employees, including booking air tickets, bus tickets, and arranging accommodation.
Office Setup Support
Coordinate the annual health check- up for employees.
Manage the budget and implement welfare activities and internal events to enhance employee engagement.
Lead the organization of corporate cultural and communal events: Company trips, Year- End Parties, Mid- Autumn Festival, International Women&039;s Day, etc.
Business Travel Coordination
Source and establish relationships with administrative service providers abroad (cleaning, security, internet, office equipment).
Directly participate in planning and deploying new office setups (site surveys, leasing premises, procurement of equipment).
Develop and transfer administrative operating procedures from the Head Office to new branches to ensure corporate consistency.
Other Duties
Perform other tasks as assigned by the management.
Yêu cầu công việc
Language Proficiency: Intermediate level in English (both written and spoken).
Minimum 3 years of experience in an administrative management role.
Work Attitude: Proactive, highly responsible, and capable of working effectively under pressure.
Experience in managing corporate vehicle fleets and coordinating large- scale administrative budgets.
Proven track record of working with authorities or legal agencies to handle Work Visas and Work Permits.
Education: Bachelor’s degree or higher in Human Resources, Administrative Management, Law, Office Management or other related fields.
Priority will be given to candidates with proven experience in setting up new offices or expanding branches (especially overseas locations).
