Team & Office Operations
• Act as the main point of contact for office- related needs, ensuring a well- organized and efficient workspace.
• Organize paper based and digital data retention function in line with company policy and local regulations.
• Support cross- functional collaboration by fostering communication and alignment between departments.
Communication & Coordination
• Serve as the go- to person for internal communications, ensuring important messages reach the right teams effectively.
• Facilitate meetings, coordinate schedules, and streamline processes to enhance productivity.
• Provide clear and timely updates to leadership on office operations, challenges, and improvements.
Service & Support
• Organize business travel, company events, meetings, and team- building activities to promote a connected workplace culture.
• Deliver a high level of service by proactively addressing employee concerns and office logistics.
• Support the commercial team on daily activities related to trade administration (for e.g. issue trade confirmation, system input, sending contracts to customers, collect countersigned contracts, post- trade negotiation of contractual terms with customers, traders and trade execution teams)
• Supporting HR function with foreign employee contract and logistical arrangements.
Prioritization & Problem- Solving
• Identify and implement process improvements to optimize office operations.
• Efficiently balance urgent requests with long- term initiatives, ensuring critical tasks receive appropriate attention.
• Maintain confidentiality and discretion while managing sensitive company information.
