Operations Assistant Manager (Supply Chain)

Roles Summary / Purpose :
Responsible for supervising daily operational activities, including assisting with demand forecasting, monitoring inventory levels, contributing to operational excellence and fulfillment processes, identifying operational risks, and supporting continuous improvement initiatives. This role plays a key part in ensuring smooth operations and helping achieve the company’s business goals.
Job Responsibilities :
Forecasting & Inventory Supervise
· Coordinate with warehouse teams on stock reconciliation and inventory reporting.
· Track inventory turnover and report discrepancies for timely resolution.
· Monitor and follow up purchase orders and delivery schedules to prevent out- of- stock (OOS) issues.
· Lead demand forecasting in alignment with Sales, E- commerce, and Marketing teams to optimize procurement and inventory planning.
Customs, Regulatory Documentation & Product Compliance
· Ensure full compliance with customs clearance procedures and regulations to minimize risks and delays.
· Coordinate with internal teams and external parties to ensure timely and compliant submission to authorities.
· Proactively identify and propose process improvements to minimize reliance on unofficial fees, aiming to reduce “underground” costs and promote ethical trade practices.
· Prepare documentation required for product quality inspection, product declaration, and labeling (e.g., secondary labels, registration files).
· Prepare and manage all required documentation (e.g., product declarations, HS codes, secondary labels, etc.) to support legal and timely clearance.
Logistics & Reporting
· Prepare regular operational & ad- hoc reports and update KPIs for management review.
· Monitor warehouse efficiency and manage order fulfillment service level agreements (SLAs).
· Track and analyze inventory accuracy, turnover rates, and promptly control discrepancies.
· Coordinate import shipment schedules with suppliers, freight forwarders, and customs to ensure timely delivery and proper documentation.
Operational Excellence & Fulfillment
· Other tasks will be assigned by management.
· Propose and implement continuous improvement initiatives across operational processes.
· Supervise the end- to- end order fulfillment process, including order processing, picking, packing, and last- mile delivery.
· Identify operational risks and propose mitigation plans to ensure business continuity and stability.
· Analyze operating costs (e.g., cost per order) and propose cost- saving initiatives.
Yêu cầu công việc
· Good communication skills (Vietnamese and English), proactive work attitude, and ability to work under pressure.
· Understanding of import, product registration processes and regulations, including compliance with secondary labeling (stickers) and product declaration documentation for FMCG, Cosmetics.
· Detail- oriented with the ability to identify and resolve data discrepancies promptly.
· Excellent time management, organizational skills, and adaptability in handling operational challenges.
· Proven ability to collaborate effectively with Sales, Marketing, and Warehouse teams.
· Minimum 5 years of experience in Operations Supply Chain, Import, Operational Excellence & Fulfillment.
· Strong analytical and forecasting skills with proficiency in Excel, warehouse/ inventory management software.
· Supply chain experience is a mandatory qualification for this role.
· Bachelor’s degree in Business Administration, Supply Chain, Logistics or related field.
