Reception in HCMC office:
Prepare the welcome screen for new- hired associates
Manage mail in / mail out, internal/ external, domestic / international with proper record and report for both HCMC and Hanoi premises
Welcome visitors following visitor management system
Receive phone calls and divert to respectively recipients
Administration tasks:
Support as a point of contact for general admin services including: courier services, taxi cards, mobile phone, meeting room stationeries, pantry supplies.
Payment process for the entire categorize falling in facilities scope.
Others task as requested from Supervisor
Engaging vendors in providing facility soft services: landscaping, cleaning services to ensure office cleanliness upkeep
Travel Coordinators:
Coordinate between Travel Agency and Travelers for Business Travel Request, Flight booking, Flight ticket issuance,
Support VISA applications process.
Manage VNA reward points and redeem fairly
Requirements:
Excellent communication skills.
Minimum 1 year of experience in Reception, Administrative, or Support roles.
Professional appearance and demeanor.
Willingness to support and assist in various tasks.
Proficient in reporting and administrative tasks.
Strong customer service mindset.
Good command of English (spoken and written).
Highly organized and detail oriented.
Ability to multitask efficiently.
Proficiency in basic office software (e.g., Microsoft Office, email systems).
