Order and Contract Management:
Draft, check and manage sales contracts (Invoice, Packing List) according to the company&039;s form and requirements, ensuring accuracy of product information (items, quality, specifications, quantity), price, payment terms (TT, LC...), delivery terms (Incoterms), delivery schedule.
Receive, verify, and process purchase orders from international clients and the sales team.
Monitor order progress from confirmation through to successful delivery.
Export Documentation Management:
Verify the validity and accuracy of documents received from suppliers or issued to clients.
Maintain and manage shipment- related records and documents systematically for easy retrieval.
Collaborate with relevant departments to finalize documentation sets.
Prepare required sets of export documents as per contractual requirements and regulations of the exporting countries (e.g., Invoice, Packing List, Bill of Lading, Certificate of Origin, Certificate of Analysis/Quality, Fumigation Certificate, Insurance Certificate).
Customer and Sales Team Support:
Promptly inform the sales team and clients about order statuses, any arising issues, and propose solutions.
Assist the sales team in preparing and sending quotations, product information materials (catalogues, specifications), and dispatching recycled plastic samples to clients.
Update client and order information in the company&039;s order tracking system.
Internal Coordination and Reporting:
Coordinate closely with other departments (Logistics, Accounting, Procurement) to ensure smooth information flow and efficient task execution.
Other Administrative Tasks:
Perform other administrative tasks as assigned by the Head of Sales.
Draft official correspondence and emails for transactions with clients and partners in both Vietnamese and English.
Assist in scheduling meetings and preparing materials for sales department meetings.
Yêu cầu công việc
At least 2- 3 years of experience in a similar position (Sales Admin, Sales Support, Customer Service, Import- Export Admin) in export company or export agriculture.
College/ University degree or higher, priority given to majors in Business Administration, Economics, Foreign Trade, Business English, Logistics or related fields.
Strong knowledge of export procedures, INCOTERMS, and international trade regulations.
Willing to travel abroad when necessary.
Good command of English (speaking, writing, negotiation).
Proactive, target- driven, and able to work independently.
