- Work Location: District.1, HCMC
- Administration support:
+ To manage AFE (Application for Expenditure) and PO for G&A i.e. stationery, drinking water for office, water purifier, and cartridge for Japanese expats as requested.
+ To support Japanese expats in opening Vietnamese bank accounts.
+ To provide internal administration support, including but not limited to faxing & coordinating with Office Tower for necessary information: notice announcement, guest registration and entrance card for newcomers, daily moving- in- out document/goods registration.
+ To receive & distribute all incoming letters; dispatch courier
+ To maintain & repair office facilities
+ Other requests from Team Leaders and Managers
+ To organize travel arrangements, including but not limited to hotel bookings & tickets, arranging transportation for employees, visitors, and trainees.
+ To manage & store all documents, except for those relevant to construction.
+ To record and check all G&A invoices.
+ To prepare & write down company procedures related to the Admin Team.
+ To monitor & update assets in the system to ensure adequacy and make asset reports monthly.
+ To prepare and arrange company meetings
- Team support
+ To assist with travel (hotel, car) arrangement of Drilling team members.
+ To order & make an Application for Expenditure & Purchase Order for stationary, drilling bag, Polo T- Shirt
+ To print & file all daily reports (20 days operational forecast, time dept chart, flight manifest, daily vessel report, supplier offshore services…) & maintain all up- to- date.
+ To prepare, bind a hole, and file hard copies of all final contracts & programs to be sent offshore.
+ To prepare & arrange for major meetings such as Pre- spud meetings.
- Prepare documents and submit them to the manager for approval and signature to get licenses.
+ To record all incoming invoices, prepare cover page, circulate & follow up invoices to get signatures from relevant engineers and managers.
- Other accountabilities
+ To research and update administration policies and local regulations.
+ To engage in regular meetings/ updates with team members, collect feedback, and encourage and promote team spirit.
+ To be accountable for other certain works as assigned from the immediate superior level.
+ To collaborate and support other initiatives upon request.
