Administration tasks:
Office & Supplies Management:
Make monthly office budget and cost control for administrative operations.
Distribute and store correspondence (e.g. letters, emails, and packages).
Ensure the office area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures).
Monitor office supply levels and make purchases as needed.
Search providers and make quotations for the director when purchasing goods, tools, and equipment things or hiring agencies.
Documents & Clerical Support:
Perform other clerical receptionist duties such as filing, photocopying, transcribing.
Arrange travel and accommodations with agencies/suppliers, track transportation expenses and airline tickets.
Deliver and receive contracts, documents, welcome packages…
Prepare and manage administrative forms, contracts, documents, and quotations.
Internal Event Support :
Provide support for company activities, such as Happy Hour, Birthday, Year- end party, farewell party …, creating a good working environment for employees.
Support other company&039;s events.
HR support:
Arrange and set up meeting rooms for interviews.
Provide onboarding support for new employees on their first working day.
Prepare candidate profiles and assist in welcoming candidates upon arrival.
Admission tasks:
Track Taster class registrations and create a list for teachers weekly.
Manage the creation and set up of users for the Customer Portal.
Process the de- registration process promptly: deactivate student account, update reason for leave, issue Notice of withdrawal.
Monitor and update the timetable sheet and available slots daily.
Update regularly on the student list (new/ drop/ change class/etc.).
Carry out the admission process for new students: create an account for input assessment, check results, issue Offer letter, arrange induction session, ...
Update Student Information to the school system (Nisims) and ensure all student E- documents are well organized.
