Job Purpose
We are seeking a highly organized and bilingual Admin & Culture Executive to join our team. This role is primarily responsible for managing day- to- day administrative operations and supporting company culture activities, while also contributing to basic HR functions (C&B, documentation, and reporting) as assigned by the line manager. The ideal candidate is detail- oriented, proactive, and thrives in a cross- functional, fast- paced environment.
Key Responsibilities
Office Administration & Operations (Primary Focus – ~70%)
Manage recurring office payments: rent, utilities, subscriptions, equipment, supplies, deliveries, etc.
Draft and file internal admin documents: assignment letters, business registration forms, official requests.
Manage company accounts (e.g. Google Workspace), IT assets, and digital resource access for teams.
Assist with the organization of company- wide internal events (e.g. Townhalls, internal workshops).
Support special projects requiring multi- departmental coordination (e.g. office setup, audits, legal filings).
Maintain structured document filing systems (digital & hardcopy) for contracts, licenses, and approvals.
Oversee procurement and vendor communication for office items, pantry goods, cleaning supplies, printing, etc.
Coordinate travel bookings, accommodation, and event logistics when required.
Track and coordinate repairs, office readiness, and inventory of fixed assets.
Culture & Engagement
Act as a coordination point for company culture initiatives and internal engagement activities.
Help drive cultural alignment across departments through thoughtful communication and logistics support.
Provide administrative and logistical support for internal events and team- building activities.
Collaborate with HR team to implement pulse surveys, internal recognition, and team rituals.
HR Support (as assigned – ~30%)
Coordinate SHUI reporting tasks (insurance changes, maternity leaves, PIT declarations) under guidance.
Maintain employee personnel files (digital + physical) and support data entry into HR systems.
Assist with periodic reporting: headcount, labor statistics, and internal HR dashboards.
Support the preparation of labor contracts, on/offboarding paperwork, and employee profile documentation.
Assist with timekeeping management and export monthly attendance data for payroll processing.
Participate in improvement of HR workflows and contribute ideas to enhance employee experience.
Other Tasks
Handle other ad- hoc tasks or cross- functional coordination projects assigned by the HR Manager or leadership team.
Requirements
Fluent in Vietnamese and English (written and spoken)
Experience working across departments in a dynamic and fast- paced environment
Solid problem- solving skills and ability to work independently to resolve operational issues
Strong organization and time- management skills
Proficient in Microsoft Excel, Google Workspace, and basic digital tools
High attention to detail and ability to manage detailed, repetitive tasks with accuracy
Team player with a proactive and service- oriented mindset
Bachelor’s degree in Business Administration, Human Resources, or a related field
