About the role
We are looking for a competent Assistant Director to support the director in departmental planning and monitoring progress. You will also be working to enhance productivity and ensure compliance with rules and regulations.
Responsibilities
Key Responsibility:
Assistant to the BOD and other assigned administrators for the purpose of providing assistance with their functions and responsibilities
Implement items to open new stores.
Monitor and support other administrative tasks
Support BOD in communicating, monitoring, following up on assigned tasks of the Company&039;s divisions and report to BOD
Participate in a variety of meetings and assist the BOD to keep good relationships with business partners, clients
Fulfill duties as assigned by the BOD.
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
General administrative:
Plan and maintain old or damaged equipment.
Regularly control and inventory the assets the department is monitoring (Offices, shops, warehouses).
At the same time, it is also necessary to regularly monitor the status or replace equipment to ensure the company&039;s operations.
Manage general administrative duties, including office supplies, equipment maintenance, and facilities management.
Manage tools and samples in warehouse in the office. Manage inventory of office supplies and equipment and order new supplies when necessary.
Carry out shopping tasks:
Carry out purchases as requested by the Director.
In charge of purchasing and repairing some tools and equipment (printers, laptops, computers, cameras...) for offices, stores, warehouses, as required by BOD.
Negotiate and establish contracts with suppliers, ensuring favorable terms and conditions. Find at least 3 quotations of 3 suppliers as required by the Accounting.
Manage correspondence and documents:
Ensure proper implementation and storage of documents (Contracts, License copies, etc.).
Organize and manage the storage system for important documents, records, department records and company confidential documents.
Support Admin Team Leader in synthesizing documents when needing to apply for a license (food safety license).
In charge of translating documents at the request of the Director.

You have:
Highly organized and detail oriented
Strong analytical and problem- solving skills
Excellent organizational skills and attention to detail
Degree in Human Resources/ Business administration or related field
At least 5 years experience for similar position
Excellent interpersonal, negotiation, and conflict resolution skills
Good command of English.
Excellent verbal and written communication skills
