Position: Academic Officer
Role Overview:
The Academic Officer will assist the Academic Manager in planning, executing, and monitoring academic programs. This role ensures the smooth operation of the curriculum, teacher and student support, and other academic activities to achieve the goals of the Senior & IELTS or Kiddy & Junior programs.
Key Responsibilities:
Support Academic Managers in Operational Execution:
Provide logistical and administrative support to ensure smooth program delivery.
Assist the Academic Manager in placement test marking, implementing and monitoring the curriculum and lesson plans.
Support in organizing professional development sessions, including product training, teacher training, and bonding events, as well as academic events.
Coordinate Class Schedules, Teacher Assignments, and Assessments:
Coordinate teacher assignments and onboarding processes.
Coordinate directly with Teaching Assistants (TAs) to ensure effective workflow, including: (for Junior classes)
Manage lesson schedules and ensure adherence by teachers and students.
Organize exams, assessments, and track student performance effectively.
Use the DotB system to manage and record class schedules, teacher assignments, and student assessments.
Prepare materials and resources required for classes, workshops, or events.
- Collaborating with TAs to maintain accurate documentation of student emotional, social, performance, and behavioral data as noted in the Teaching Assistant Planner.
- Receiving marked homework from TAs and recording it in the DotB system.
Bridge Communication Between Stakeholders:
Serve as a liaison between Academic Managers, teachers, parents, and students.
Assist in collecting feedback from teachers, students, and parents for program improvement.
Help prepare weekly and monthly academic reports for review by the Academic Manager.
Ensure effective use of the DotB system for communication and record management.
Handle student academic inquiries and address issues promptly.
Quality Assurance:
Ensure accurate tracking of attendance, homework, and student behavior records using the DotB system.
Conduct regular checks on lesson plans, class execution, and assessment standards to maintain high- quality outcomes.
Assist in collecting and analyzing data for academic performance improvement.
Work with TAs to verify the completeness and accuracy of records in the Teaching Assistant Planner.
Monitor compliance with academic policies and standards.
Implement the Safety- Fun- Growth framework to ensure quality assurance, focusing on:
- Fun: Engaging and enjoyable learning experiences.
- Safety: Emotional, social, and physical well- being of students.
- Growth: Holistic development of students.
Administrative Duties:
Maintain accurate records of student and teacher performance.
Assist in inventory management for academic materials and supplies.
Ensure proper documentation and filing for academic programs.
Transition documentation and records from Google Workspace to the DotB system where applicable.
Key Deliverables:
Improved communication among teachers, parents, and students.
Accurate and timely coordination of schedules, teacher assignments, and assessments.
Effective support for Academic Managers in program execution.
Consistent and effective use of the DotB system for records and reporting.
Seamless coordination with TAs for efficient class and student support.
Implementation and monitoring of the Safety- Fun- Growth framework.
High- quality support for lesson delivery and academic operations.
Requirements:
Education and Experience:
Bachelor’s degree in Education, English, or a related field.
At least 1- 2 years of experience in an educational or academic support role is preferred.
Familiarity with academic management systems like DotB is a strong advantage.
Skills and Competencies:
Proficiency in Microsoft Office, Google Workspace tools, and DotB system.
A proactive attitude with a willingness to learn and adapt.
Ability to work under pressure and manage multiple tasks simultaneously.
Strong communication and interpersonal skills.
Excellent organizational and time- management skills.
