Key responsibilities and tasks
Perform other general administrative tasks and tasks assigned by the management
Create, control, and monitor all administrative requirements of other departments.
Photocopy (request, photo, payment)
Develop and maintain good working relationships with all relevant local governmental bureaus, agencies and authorities
Scanning ICF/CRF & other documents
Code, receive and file incoming letters, documents for CTU
Conducting purchase request & D365 (order stationary, consumable, …)
Ensure rules and procedures in place regarding working hours, lunch, office closure and communications about security
Tracking deadline: GCP certificate, IRB approval (local IRB & OxTREC), study PA/contracts
Prepare logistics for CTU meetings and workshops
Monitor on- going activities and revise contracts
Maintain office efficiency, plan and implement office systems
Other tasks as required
Providing administration support to ethic committee submission
Execute study- related administrative tasks
Booking meeting room & checking facilities
Supplier managements: photo, printing, furniture, mail & post…
Data entry and data verification of studies
Translate study documents (Vietnamese- English – Vietnamese)
Attending administrative and CTU meetings, taking minutes and keeping notes
Preparing consumables for study hospitals/sites
Ensure compliance with OUCRU- VN policies and procedures
Maintain stationary supplies and coordinating deliveries for CTU
Maintain good relationship with partners
Selection criteria
Essential:
- PC literacy and experience with MS Office applications
- Strong data management with excellent accuracy
- BA degree in business administration or relevant field
- Demonstrated ability to maintain high levels confidentiality
- Strong administrative, organisational and interpersonal skills
- Ability to manage workloads and priorities within tight deadlines and meet operational targets
- Proven work experience as an administrator
- Fluency in English and Vietnamese
- Proven ability to work independently and also as part of a team
Desired:
- Working experience with NGO or international organizations is an advantage
Benefits
- Other responsibilities and benefits are based on Viet Nam Labour Law.
- Contracted salary: Negotiable (depending on actual experience and education).
- Two months’ salary for annual bonus and clothes

- Annual leave 18 days each year for the first year
