YOUR MISSION:
The Business/Commercial Admin is a critical support role that ensures the smooth and efficient operation of the sales and commercial team in achieving their targets and maintaining excellent customer relationships. This role will take charge of handling all administrative tasks from documentation and sample management to credit control coordination.
KEY ACTIVITIES:
Commercial Documentation & Administration:
• Maintain a systematic and organized filing system for all sales and commercial paperwork, both physical and digital, to ensure compliance with company policies and legal requirements.
• Handle general administrative tasks for the sales team, including meeting scheduling, travel arrangements, and expense reports.
• Prepare, review, and manage sales contracts, Purchase Agreements (PAGs), Purchase Orders (POs), and other essential commercial documents with a high level of accuracy and timeliness.
• Prepare and manage Product & Market Registration for all export market assessments
Sample Management:
• Maintain an accurate inventory of samples and track all shipments to ensure timely delivery.
• Serve as the key liaison with logistics partners for sample delivery.
• Coordinate and manage the preparation and dispatch of product samples to potential and existing customers.
Credit Control & Accounts Coordination:
• Act as the primary point of contact between the sales team and the accounting/finance department regarding credit and debt collection.
• Coordinate with the accounting department to reconcile accounts, address discrepancies, and support in the collection of debts.
• Monitor customer payment statuses and proactively follow up on overdue invoices.
Market & Business Survey:
• Conduct market research and surveys for specific business sectors as required (e.g., "Puffy DL" business sector).
• Gather, analyze, and present data to the sales manager to support strategic decision- making.
General Sales Support:
• Provide comprehensive administrative support to the Sales team.
• Assist in preparing sales reports, presentations, and forecasts.
• Schedule and managing customer factory visit
• Undertake other sales- related tasks assigned to support business growth and operational efficiency.
WHAT WE NEED FROM YOU
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Highly detail- oriented and able to manage multiple tasks and deadlines effectively.
• Proactive on work.
• Fluent in both written and spoken English. Able to communicate clearly and professionally with internal and external stakeholders.
• Fresh graduated are welcomed.
• Bachelor’s degree in business administration, Commerce, Economics, or a related field.
