Your role
This role will ensure the smooth provision of deployment and scheduling at all three Vietnam campuses. The role will focus primarily on the creation and implementation of weekly and termly placement testing and Study Success Advising schedules which meet the needs of our students and relevant staff. The role will act as a key point of contact for queries related to deployment and scheduling and handle emergency sick leave covers on an immediate basis. Additionally, the incumbent will support operations with the provision of relevant administrative support with the everyday running of the School.

Key Accountabilities
Timetabling & Scheduling
- Support the Deployment and Scheduling Coordinator in planning in class planning and deployment.
- Plan, implement and monitor the termly and weekly timetables for placement testing and Study Success Advising across three campuses.
- Tracking hourly paid teachers’ pay when required to support placement testing and Study Success Advising.
- Responsible for answering the SEUP “Sick Phone” across three campuses and arrange immediate cover as necessary.
- Ensuring teacher leave is considered when planning termly classes/ timetables.
- Acting as a point of contact for teacher enquiries and requests over teaching schedules, placement testing and Study Success Advising.
- Ensuring that teacher leave is considered when planning placement test and Study Success Advising schedules.
- Monitor usage and ensure operational efficiency of the deployment of School resources and staff in all locations.
- Working with academic leads to ensure that teachers are matched to classes according to their skills and experience
Administration Support
- Provide day- to- day administrative support for the Director, School Manager and Heads of Program including student related records, regular equipment audits, any problems with facilities and equipment, student results and reports and alike.
- Support and cover other SEUP staff’s all tasks when they are on leave or work in shift to ensure smooth communication and daily operation.
- Provide timely and accurate reports to management team and stakeholders in relation to individual sales targets, enrolment numbers, placement testing, English entry levels, inquiry volumes, variances, challenges and trends whenever required.
- Undertake any other duties that may be required by the Director, School Manager and Heads of Program and other relevant management.
- Provide and coordinate high quality administrative support to staff, teachers and students of the relevant department including, but not limited to: placement testing, issuing of exam results, management of file systems, student advisement, students and parents’ feedback and complaints, management of administrative resources and teaching materials, translation services and contract preparation.
