Job description:
Identify and partner with reliable and reputable suppliers for event- related services and products.
Coordinate with internal teams to secure event venues, F&B, entertainment, audiovisual equipment, and other necessary services.
Oversee logistical aspects of event planning, such as venue setup, stage production, lighting, sound, and technical support.
Provide guidance on event design, décor, lighting, audiovisuals, and other production aspects to create an engaging and memorableevent experience.
Coordinate internal communications regarding the event, including event announcements, updates, and registration processes.
Collaborate with the marketing team to develop event marketing strategies and promotional materials.
Event venue management (including directly working with the partners for all the paperworks, set up guideline etc.)
Coordinate with all the event vendors and related department.
Social Media Channels support and supervision
Oversee the development and production of event materials, including POSM, signage, banners, promotional items, and digital assets.
Utilize various marketing channels, such as internal communications, intranet, and company newsletters, to generate awareness andengagement for the event.
Manage event budgets for event programs, tracking expenses, and ensuring cost- effectiveness while delivering high- quality events.
Support sales team to communicate with exhibitors with all questions or concerns.
Ensure seamless event execution, troubleshooting any issues that may arise during the planning and implementation stages.
Develop and execute comprehensive event plans, including cost estimated, general event timelines, set up timeline, etc.
Maintain strong relationships with suppliers, fostering effective communication and collaboration throughout the eventplanning process.
Support the marketing team in leveraging external communication channels, such as social media and press releases, to maximize event exposure and attendance.
Coordinate and supervise event staff and vendors, including event coordinators, technicians, and service providers.
Negotiate contracts and agreements with suppliers, ensuring competitive rates, favorable terms, and high- quality deliverables.
Requirement:
2- 5 years experience in marketing or event management/ event planner/ project management is preferred.
Fluently in English and Vietnamese, both oral and written.
Strong project management skills with the ability to multitask and meet deadlines.
Creative mindset with attention to detail in event concept development and design.
Excellent communication and interpersonal skills for effective collaboration with vendors, and team members.
Ability to work well under pressure and adapt to changing circumstances.
Proficiency in creating detailed PowerPoint, Microsoft Offices.
