Position SummaryThe Events & Engagement Coordinator supports the planning, coordination, and execution of ISHCMC’s internal and external events and community initiatives. Collaborating with the Events & Community Outreach Manager, this role helps deliver meaningful engagement experiences for students, staff, parents, and external partners that are aligned with the school’s mission and values.Key Responsibilities1. Event Planning & Execution • Assist in developing and maintaining the annual events calendar in coordination with departments and community partners. • Coordinate logistics for school- wide and targeted events, including setup, breakdown, vendor liaison, catering, décor, and tech support. • Support the creation of event briefs, timelines, checklists, and evaluations. • Help ensure all events meet safeguarding, legal, and safety compliance standards. • Provide on- the- ground event support (welcoming guests, facilitating flow, troubleshooting). • Capture event photos/videos and gather content for communication purposes.2. Communications & Promotion • Liaise with the Communications team to prepare promotional content for newsletters, social media, and internal platforms. • Assist in developing materials such as flyers, invitations, event signage, and follow- up thank- you notes. • Support parent and stakeholder communications pre- and post- event.3. Community Outreach & Partnerships • Support outreach activities with parent groups, local partners, and the wider ISHCMC network. • Maintain contact lists and help coordinate follow- ups with partners and guest speakers. • Assist with the organization of the ISHCMC Speaker Series and Rhino Adult Education Hub events.4. Finance & Budget Support • Assist in tracking event- related expenses and maintaining accurate financial records. • Support budget planning and reporting in collaboration with the Events & Community Outreach Manager. • Help ensure all purchases are aligned with school policies and provide value for cost. • Liaise with the Finance team and vendors regarding invoices and payment processes. • Maintain a cost- tracking sheet for each event and support financial reconciliation post- event.5. Administrative & Reporting Tasks • Track attendance and participation metrics for events and programs. • Prepare post- event reports and feedback summaries for internal review. • Maintain organized files and documentation for repeatable event processes.
