KEY OUTPUTS:
Administration responsibilities:
- Assist in stock take, office fitting out and maintenance work of office assets and equipment;
- Settle monthly expense payments of all suppliers (office rental, parking fee, security service, travel insurance, newspaper, electric fee, flower…) as team’s segmentation and responsible for related services (courier, water, stationery, car rental, etc.);
- Record and control operation expenses of all suppliers in charge on monthly basis;
- Assist to organize events e.g. farewell, annual party, company trip…
- In charge of receiving and stock checking of stationery;
- Proceed and follow up an up-to-date issuance of outward documents and contracts;
- Arrange working facilities for new comers: Employee proximity card, stationery, motorbike registration…;
- Assist in purchasing activities of Admin when required;
- In charge of stamping all signed documents except confidential documents or others as indicated by Line manager;
- In charge of keeping and managing Company’s seal/ stamps as compliance with company’s procedure;
- Arrange and control courier delivery activities;
- Control and follow up orders of stationery stock and pantry’s household utilities;
- Conduct stocktake checking and making reports twice per year, by end of June and end of December;
- Follow up supplier contracts for responsible services such as courier, water, stationery, plant, office cleaning etc.
- Proceed and control in printing the marketing materials, envelops, letter head, health care card, name card... to ensure the quantity is always available;
Reception responsibilities:
- Arrangement and supervision of meeting rooms;
- Supervising office assets security.
- Arrangement and supervision of car/taxi/others (e.g. Grap service or similarities) for all employees for business trip and guests as requested;
- Guest receiving;
- Telephone receiving and answering;
- Correspondence/ Documentation in - out;
Other office works as assigned by line managements or the company.
Contribute opinions in reviewing and updating Administration Policies, Regulations and Guidelines.
