Overview
The ideal Candidate will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities;
Executive Assistant provides both personal and professional support with a “can do” attitude, serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Deputy CEO;
He/she will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Essential Duties and Responsibilities
Be able to maintain absolute confidentiality and consistently exercise discretion and judgment;
Ability to be flexible, change courses, and adapt at any moment;
Plans, coordinates and ensures the Deputy CEO’s schedule is followed and respected;
Provides a bridge for smooth communication with internal departments;
Makes arrangements for special and routine meetings, including coordinating conference space and schedules with other departments;
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows- through on projects to successful completion, often with deadline pressures;
Completes a broad variety of professional administrative tasks for the Deputy CEO including: (1) managing anextremely heavy calendar of appointments; (2) be able to handle overlapping meetings moving at a fast pace; (3) composing and preparing correspondence that are confidential; (4) arranging detailed travel plans, itineraries, and agendas; and (5) compiling documents for travel- related meetings.
Works closely and effectively with the Deputy CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately;
Forwards accurate and detailed messages, facilitates conference calls and, as appropriate, disseminates generalinformation to callers;
