Job Purpose:
The GA Specialist/Supervisor role within our Vietnam Shipping Agency entails supporting and serving as a backup to the Finance Manager in various reporting tasks on a daily, monthly, quarterly, and yearly basis. The primary objective is to ensure compliance with Vietnamese financial laws, maintain accuracy in customer invoicing, and engage with external entities for regulatory filings. The GA Specialist/Supervisor is pivotal in upholding financial compliance standards and aiding the Finance Manager in operational activities. This position calls for a detail- oriented individual with a robust background in financial management, regulatory adherence, and external coordination. Success in this role significantly contributes to the financial integrity and regulatory compliance of our operations in Vietnam.
Main Tasks and Responsibilities:
Accounting Transactions:
Promptly record transactions into the local accounting system while adhering to Vietnamese legal requirements.
Invoice Management:
Monitor and follow up with customers to ensure timely payment as per issued invoices.
Verify the validity of invoices and payment documents in accordance with tax regulations.
Issue precise and timely customer invoices, collaborating closely with operations and document teams.
Financial Reporting:
Collaborate with Nexia to fulfill SI (Social Insurance) and tax declarations per Vietnamese regulations.
Reconcile monthly accounts to compile monthly, quarterly, and yearly financial reports.
Tax Compliance:
Monitor Tax Reconciliation between tax reports (VAT, CIT, PIT, FCT, and others) and the accounting software/general ledger.
Ensure compliance with local tax regulations.
Prepare and submit tax reports: VAT, PIT, FCT, CIT finalization annually.
Manage tax payments on a monthly/quarterly/yearly basis and engage with tax authorities as needed.
Financial Management:
Periodically reconcile AP/AR sub- ledger and general ledger.
Ensure accurate recognition of all revenue/sales and expenses in a timely manner.
Daily reconciliation of bank statements.
Process supplier payments in alignment with approved payment requests.
Bookkeeping and Financial Knowledge:
Proficiency in preparing financial reports.
Possess a solid grasp of social insurance, local taxation, local accounting, and regional accounting practices.
Perform bookkeeping and oversee transactions to comply with local legal mandates.
Background and Experience:
Fundamental understanding of financial reporting.
Minimum 5 years of relevant experience in accounting, finance, or related roles within the shipping or logistics sector.
Good knowledge of social insurance, local taxation, local accounting, and regional accounting.
Competencies and Skills:
Proficient in utilizing Fast/Misa Accounting Software.
Communication Skills: Effective communication with internal teams and external stakeholders.
Attention to Detail: Diligent in recording transactions and validating invoices.
Thorough understanding of Vietnamese tax laws and circulars.
Financial Acumen: Strong comprehension of local financial regulations and compliance.
Fluent in both written and spoken English and Vietnamese.
Advanced skills in Excel and Word.
Proficiency in accounting principles.
Organizational Skills: Efficient task management to meet reporting deadlines.
Problem- Solving: Capability to address financial discrepancies and collaborate with external accounting firms.
Education Requirements:
Bachelors degree.
Language Requirements:
Proficiency in English and Vietnamese.
