JOB MISSION/OBJECTIVE
To provide comprehensive administrative and operational support to the Sales team, ensuring efficiency, accuracy, and seamless execution of sales processes, ultimately contributing to the achievement of sales targets and overall business success.
JOB DUTIES & REPONSIBILTIES
Sales Operations Support:
- Collect and compile periodic sales data for monthly and quarterly bonus calculations for the Sales team.
- Categorize and organize customer data based on various criteria (e.g., region, industry, sales potential) to support business and marketing activities.
- Regularly monitor, update, and manage the list of active retailers in the management system, including contact details, sales date, key products, and other relevant information.
- Communicate regulations and policies, and serve as a point of contact with Human Resources (HR) for Sales staff regarding policies and procedures.
- Provide sales materials and tools to the Sales team to enhance customer engagement effectiveness (e.g., price lists, product samples).
- Manage the Sales team&039;s employee list, including updating contact information and organizational structure.
- Ensure logistical arrangements for quarterly summary meetings, employee training sessions, and new product launch events (e.g., preparing meeting rooms, materials, equipment).
Sales Team Management Support:
- Assist the Line Manager in planning, organizing, and implementing internal training programs on product knowledge or skill development for the Sales team.
- Manage the work schedules and attendance of Sales staff according to company regulations (attendance policies, leaves, sick leaves, related benefits and allowances).
Sales Expense Management:
- Collaborate in developing quarterly and annual budget plans for sales activities.
- Prepare periodic expense reports for management review, analyze expenditures, and propose cost optimization measures.
- Monitor and control expenditures against the approved budget, ensuring compliance with cost management regulations.
Work Plan and Travel Expense Management:
- Assist in adjusting work plans and propose necessary modifications due to market changes, customer changes, objective factors (weather, epidemics, etc.), or business objectives.
- Support travel arrangements (booking flights, hotels) for Sales management and staff business trips.
- Collaborate with Regional Managers in defining objectives, allocating resources (Supervisors/Leaders/Representatives), and developing work schedules.
- Receive and verify the validity of travel expense documents (advances, reimbursements, settlements) according to regulations.
- Monitor the daily progress of each employee&039;s work plan (routine checking) and report the results to the Head of Sales.
Potential Expansion and Development Opportunities:
- Participate in projects to improve sales processes and implement new sales management tools and software.
- Assist in managing trade marketing campaigns. (supply Gifts, Services)
- Assist in monitoring and reporting individual sales performance, and participate in developing incentive and motivation programs for the Sales team.
- Serve as a guide and trainer for new Sales employees on administrative procedures and management software systems.
- Participate in managing relationships with partners and suppliers related to sales activities, and track and manage contracts.
