JOB DESCRIPTION
Role Purpose:
TheOffice Assistant provides comprehensive administrative and operational supportto ensure the smooth day- to- day functioning of the office. This role alsosupports the Regional Leader, Brand Partner in managing their calendars,appointments, and travel arrangements.
Main Roles andResponsibilities:
Executive Assistance:
· Organizeactivity, schedules, reports and presentations in an orderly, constructivemanner.
· Ensureeffective communications & connection to all Departments.
· Organizedaily schedules to make the best use of working time.
· Performthe full range of secretarial duties (schedule, telephone, business tripplanning, expense forms… etc.).
· Preparemeeting agendas, take minutes, and track follow- up actions.
· Connectbetween all regional and local function heads
· Connectwith Regional & Brand Partners for meetings, business visits arrangement
Office Management:
· Dopayment requests for all Admin expenses.
· Beresponsible for order and supply of stationary, cartridge, admin document,office facilities, office equipment, …
· Liaisewith the office landlord from time to time in connection with leasing issues,office security, electricity, parking …
· Purchaseand manage daily office and counter stationeries & equipment’s, officerefreshment, fresh water/other beverage, meal, hotel booking, air ticket, visa,name card… on time and be sure all office facilities/ equipment run well.
· Supportother teams with administrative requests.
· Postagecontrol receives and delivers to right person
· Ensureall admin expenses and activities will comply with the company Policy andProcedure
REQUIREMENTS
· Proficientin Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Minimum2–4 years of administrative experience; experience in the beauty, retail, orluxury industry is an advantage.
· Abilityto work independently and collaborate effectively across departments.
· Detail- orientedwith a high level of professionalism and discretion.
· Diplomaor Bachelor’s degree in Business Administration, Office Management, or relatedfield.
· Fluentin English; additional language skills are an advantage.
· Strongorganizational, multitasking, and communication skills.
