JOB DESCRIPTION

Operations:

Assist with managing the reception desk during peak hours to ensure guests receive prompt and courteous service.
Monitor inventory levels of studio supplies and place orders when necessary.
Oversee the daily operations of the studio, ensuring a clean, organised, and welcoming environment for guests.
Collaborate with the Operations Manager manager to create and implement operational procedures that improve efficiency and guest experience.
Handle maintenance issues and ensure equipment is functioning properly.
Coordinate with teachers and staff to ensure smooth class transitions and optimal studio usage.
Help to manage the schedule of studio rooms and equipment to maximise usage and efficiency.

Guest Relationship Management:

Interact with guests to build relationships, address concerns, and resolve issues in a timely and professional manner.
Ensure guests are aware of all services and offerings available at the studio.
Utilise guest feedback to improve studio operations and guest experience.
Create and implement programs and initiatives to improve guest retention and loyalty.
Deliver exceptional guest experiences by providing a high level of service and attention to detail.
Collaborate with teachers and staff to create an engaging and positive studio environment.

Admin:

Create and manage schedules for teachers and staff to ensure optimal studio coverage.
Assist with managing the sales pipeline and sales process, including proper data recording, reporting, and contract management.
Utilise data analysis to identify trends and opportunities for improvement in operations and guest experience.
Coordinate with finance and HR departments to ensure smooth and coordinated operations.
Maintain accurate and up- to- date records of guest and operational data, including sales, inventory, and attendance.

REQUIREMENTS

Ability to work independently as well as collaboratively with other team members.
Ability to work flexible hours, including early mornings, evenings, and weekends as needed.
Experience with customer service and post- sale support, with a commitment to ensuring customer satisfaction.
Minimum of 1- 3 years of experience in sales or operations, preferably in the health and fitness industry.
Ages: From 20- 25 years old.
Proficient in using business software, such as Microsoft Office and CRM systems.
Strong interpersonal and communication skills, with the ability to effectively persuade and influence customers in both English and Vietnamese.
Bachelor&039;s degree in business administration, marketing, or related field preferred, or equivalent experience.
Excellent organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.

Customer Service Representative

JOB DESCRIPTION

Customer Interaction:

Respond to customer inquiries via Zalo, email, chat to all Olaben’s E- commerce platform Tiktok, Shopee, Lazda, and phone promptly and professionally.

Ensure all incoming chat requests from customers are acknowledged, owned, handled within agreed time, and handled professionally leaving a high customer experience.

Confirm and update order details with the highest quality and time service levels to increase the chance of successful deliveries.

Provide customer assistance in all operations related to orders, at each stage of the shipment, payment, return and refund processes coordinate with internal teams to ensure all SLAs are met at each stage of the shipment, payment, return and refund processes.

Problem Resolution:

Take 100% of incoming calls, chat, solve incoming issues, answer as fast as possible to customers, no matter the topic, and with the objective of a first touch solution.

Investigate and troubleshoot customer issues, providing effective solutions or escalating to the appropriate department when necessary.

Proactively identify and address potential issues to prevent customer dissatisfaction.

Feedback Loop/ Customers Feedback:

Entralize customer feedback and recurring issues to the relevant teams to contribute to product/service improvements.

Collaborate with cross- functional teams to implement solutions and improvements based on customer feedback (Swear work with Marketing,Creative and Ops team, Nutrition work with R&D, Production & Ops team).

Sales

Track and manage post- sales orders reach out to customers to consult, advise, and assist customers with new products, promotion and campaigns.

REQUIREMENTS

High school diploma or equivalent.Good written and spoken communication skills: Speak clearly, clearly, fluently, creating sympathy for the listener.Strong problem solving ability.Ability to work independently and withstand pressure.Experience with social media and CRM platforms preferred.Having experience in customer service and fashion sales is an advantage.English proficiency.
