The Embassy of Ireland, Hanoi, is seeking a highly motivated, enthusiastic and hardworking personwith excellent communication, organisational and interpersonal skills to fill a TemporaryAdministrative and Consular Officer position.
Roles and Responsibilities:
The precise range of duties will vary over time according to the needs of the Embassy, but willinclude the following:
• Support for emergency consular cases, including out of office hours as required;
• Assisting in the promotion of Ireland and maintenance of diaspora links;
• Preparation of visa applications for consideration by the deciding officer;
• Management of consular and visa filing systems, official correspondence, diarymanagement, and official travel arrangements;• Supporting the organisation of official events;
• Processing a range of consular services at the Embassy, including passport applications,emergency travel certificates, certification of documents, authentication of adoptionapplications, Foreign Birth Registration, Certificates of Freedom to Marry, etc.;
• Communicating with Irish citizens, visa applicants and agents by email, phone and in person,ensuring the provision of accurate and timely information on consular and visa services;
• Provision of translation and interpretation from Vietnamese to English, and vice versa, asrequired. In particular, providing interpretation support to diplomatic officers, as well as tovisiting delegations from Ireland;
• Providing administrative support to the Embassy. This will include reception duties as wellas managing correspondence, invitations & calls to the Embassy;
• As part of the Embassy team, assist with other Embassy priorities as required.Essential requirements candidates must be able to demonstrate:
• Candidates must have a university degree;
• Candidates must be fully bilingual in English and Vietnamese (a language test will beincluded in the selection process);
• Willingness to travel as requested;
• Solutions- oriented, and committed to delivering results, with the ability to adapt approachwhen necessary;
• Knowledge of Microsoft Office Suite (Outlook, Word, Excel);
• Two years’ relevant professional experience in a similar role;
• Strong organisational skills, the ability to manage multiple tasks and work under pressure,and excellent attention to detail;• Excellent interpersonal skills and persuasiveness, with the ability to work well in a team anddeal effectively with members of the public and people in external organisations;
• All applicants must have a permanent legal entitlement to live and work in Vietnam priorto recruitment.Desirable Skills and Experience:
• A good understanding of the role of the Department of Foreign Affairs and the Embassy;
• The successful applicant will work alongside other local employees of the Embassy, and willreport directly to diplomatic staff in the Mission when required. Previous experienceworking in an Embassy, International Organisation, or other international environment isdesirable, but not essential.Terms and conditions of employment:
• The position is based at the Embassy of Ireland, 2nd floor, 41A Ly Thai To, Hoan Kiem Ward,Hanoi;
• The successful candidate will be hired on a fixed- term contractual basis until July 31, 2026;
• The salary will be $1,141.89 paid locally on a monthly basis (annual gross salary level$15,986.46 over 14 months). Salaries are paid directly to a bank account, therefore thesuccessful candidate must have a Vietnamese bank account.
• The position is full time, Monday to Friday, no less than 35 hours per week, with standardoffice hours from 8:30am to 4:30pm;
• Annual Leave entitlement will be calculated pro- rata (20 days per annum);
