We are seeking a proactive and detail- oriented HR- Admin Executive to join our dynamic team in Ho Chi Minh City. This role will provide essential support to the HR & Admin Manager in managing daily office operations and HR functions.
The ideal candidate will be a self- starter with strong organizational skills, capable of handling both administrative and human resources responsibilities in a fast- paced, international logistics environment.
Roles and Responsibilities
Administration Roles:
- Office Administration & Facilities Management:
· Manage inventory and procurement of office supplies, equipment, and stationery, pantry, etc.
· Oversee daily office operations, ensuring a clean, organized, and well- equipped workspace.
· Welcome and assist guests, visitors, and vendors in a professional manner.
· Ensure all office assets are tracked, maintained, and replaced as needed.
· Support general office administration and assist in maintaining a productive work environment.
· Handle incoming and outgoing mail, courier services, and deliveries.
· Coordinate maintenance and servicing of office equipment and infrastructure (e.g., IT devices, air conditioning, lighting, etc.).
- Vendor & Contract Management:
· Liaise with suppliers, service providers, and contractors for office- related needs.
· Prepare, review, and track office- related contracts, invoices, and payments to ensure timely processing for HCM and other office locations.
- Logistics & Event Support:
· Assist in planning and execute company events, team building, and employee engagement activities.
· Support work permit processes for expatriates and onboarding of foreign employees.
· Arrange logistics for business travel, internal meetings, and interviews (e.g., visas, flights, accommodation).
- General Administrative Support:
· Assist in document management, including filing and record- keeping.
· Provide day- to- day administrative support to the HR- Admin Manager and other departments as needed.
Human Resources (HR) Roles:
- Perform other HR- related duties as assigned by the HR Admin Manager.
- Advise employees on HR policies, labor regulations, and company procedures.
- Coordinate onboarding and offboarding processes including documentation, orientation, system setup/exit, and clearance.
- Maintain accurate employee records and HR documentation for audits and internal use.
- Ensure HR operations comply with Vietnam labor laws, company policies.
- Assist in recruitment processes: job postings, CV screening, interview scheduling, and offer letters with HR – Admin Manager.
- Support welfare programs such as insurance, health check- ups, and company activities.
- Support employee engagement, wellness programs, and internal communications.
- Support legal and corporate secretarial admin (e.g., labor contracts, government filings, liaising with advisors if needed).
