Key Responsibilities
We are looking for a detail- oriented and proactive HR Admin to join our team. In this role, you will support the HR & Admin Department in managing key functions such as recruitment, internal communication, C&B, employee record management, and day- to- day HR operations across both Vietnam and Australia offices.
Employee Records
Track key employee lifecycle events (probation periods, contract renewals, promotions, and terminations), and send timely reminders to relevant stakeholders.
Prepare and manage HR documents such as offer letters, employment contracts, and resignation paperwork.
Maintain and update accurate employee records in both digital and physical formats.
Recruitment & Onboarding
Assist in screening candidate CVs, scheduling interviews, and communicating with candidates throughout the hiring process.
Post job advertisements on online platforms and internal channels; maintain job tracking spreadsheets.
Support onboarding processes: collect necessary documents, set up orientation meetings, and ensure new hires are fully integrated into the team.
Timekeeping
Verify and consolidate monthly timekeeping data to ensure accuracy for salary calculation.
Monitor and maintain daily attendance, leave requests, and overtime records.
Internal Communication
Draft internal communications such as announcements, notices, and HR updates to be shared via email and internal platforms.
Support internal surveys, gather employee feedback, and assist in follow- up actions to improve engagement and workplace experience.
KPI & Performance Tracking
Collect and compile monthly KPI data from team leads.
Schedule and coordinate quarterly performance reviews, and assist in taking minutes or consolidating feedback.
Maintain and secure confidential performance review records.
Admin Support
Ensure HR operations comply with internal policies and labor regulations in both Vietnam and Australia.
Provide daily administrative support to the HR department.
Other Tasks
Perform other duties assigned by the line manager, including short- term projects or urgent HR- related requests.
Requirements
Intermediate English proficiency (spoken and written)
Well- organized, detail- oriented, and capable of handling confidential information
Proficient in Microsoft Office (especially Excel & Word)
1–2 years of experience in HR Admin or a similar role
Bachelor’s degree in Human Resources, Business Administration, or related field
Strong communication and coordination skills
