JOB DESCRIPTION
Human Resources operation
Recruitment
Prepare onboarding materials and assist new hires with joining procedures.
Update job postings across platforms and internal channels.
Arrange interview schedules and coordinate with candidates and interviewers.
Execute recruitment activities: post job ads, coordinate interviews, communicate with candidates, and prepare offer letters.
Maintain candidate database and recruitment reports.
Training & Development
Build and execute training plans and budgets.
Maintain training records and feedback forms
Update training database and issue certificates when required.
Coordinate training logistics: booking rooms, preparing materials, sending invitations, and tracking attendance.
Monitor training results and assess how they are applied on the job.
Track training effectiveness and evaluate on- the- job application.
Follow up on training completion and collect post- training feedback from participants.
Others
Assist other annual tasks such as annual health check, employee happiness surveys, team building activity…
Prepare basic HR reports such as headcount, attendance, and turnover.
Administration operation
Office & Facility Management
Monitor office and workshop facilities to ensure cleanliness, orderliness, and safety.
Manage office supplies, uniforms, stationery, and pantry items.
Supervise the security and cleaning teams; ensure safety and hygiene standards are maintained in the workshop.
Coordinate with vendors for maintenance, repair, and service of office/factory equipment.
General Administration
Build and execute daily, monthly, and yearly administrative work plans and budgets.
Develop, implement, and improve internal policies, regulations, and required licenses.
Making payments for all the admin task related to workshop operations
Prepare regular (monthly/yearly) and ad- hoc reports required by management, customers, or the group.
Government & External Relations
Support the preparation and renewal of permits (e.g., Work permit, fire safety, environmental, construction).
Coordinate submissions and ensure timely follow- up on administrative/legal documentation.
Maintain and develop good working relationships with government agencies and local authorities.
