Positive Objective:
The role is to specifically support the day- to- day payroll HR administration and system creation to ensure smooth onboarding and monthly payroll matters are in alignment with employment.
Ensure the qualification of service delivery from HR Outsourcing Solutions at PERSOLKELLY Vietnam to assigned client accounts and contractors/ payees.
Key Responsibilities:
Notify Clients when their Contractors are due for renewal or termination, confirm their decision and inform Contractors accordingly
Connect with client regularly and provide HR advisory services as required.
Offboarding and management of the exit process.
Maintain a close connect with recruitment consultants who place the candidates so as to ensure that there are no information gaps.
Manage leave, insurance, allowances and other benefits administration.
Liaising with internal and external stakeholders
Liaise with the payroll & finance team to resolve contractor timesheet issues, claims and payment issues, Client billing issues, overpayments made etc. and inform them on advance listing and payments
Handle contractor’s disciplinary issues and grievance handling.
Maintain accurate and timely data recording. Issue letters and support them where required.
Provide end- to- end administrative support including (but not limited to) preparing and uploading documents to system for both Contract and Temporary Workers, extension, termination, contract resignations, reference checks, warnings, grievances, leave requests, claims requests, contractor bonuses, renewal or termination of Work Passes
Ensure timely and accurate payroll information is provided so that contractors receive their salary payments accordingly.
Ensure processes are administered accurately within defined SLAs.
Manage the contractors’ information and ensure that regular updates are done in the system.
Work closely with the contractors and clients to improve work relationships, build morale, increase productivity and retention.
Manage the end- to- end pre- joining and onboarding formalities so that the contractors have a smooth integration which includes contract issuance, work pass applications, renewals, collection of documents, conducting of reference checks and so on.
Profile Requirements
Consultant level: At least 3 years
Open for in house and external payroll background.
Proficient in MS Offices (Word and Excel)
Senior Consultant level: At least 5 years
Good communication skills in both English and Vietnamese.
Ability to multi- task and detail oriented.
Experience HR administration support role.
A problem- solver and result- oriented consultant in managing multiple clients at the same time.
