Overview of duties

• Provides personal administrative support to the Kitchen team. Duties include general clerical, receptionist, and other duties assigned by the Director of Culinary Service (DOC) and Executive Sous Chef (ESC).
• Behaves and acts in an exemplary fashion, embodying the brand mindset
Main responsibilities
Customer relations
• Answers telephones and handle guests&039; requests to the Pullman standards.
• Meets and greets clients and visitors in an appropriate manner.
Professional techniques / Production
• Maintains DOC&039;s calendar.
• Creates, transcribes, and distributes meeting agendas and minutes.
• Performs general clerical duties to include but not limited to: typing, photocopying, faxing, mailing, and filing.
• Sets up and coordinates meetings as per required.
• Performs other duties as assigned by the DOC/- ESC
• Prepares correspondence, reports, and materials as per DOC and Executive Sous Chef.
• Assists the DOC in rostering.
• Maintains hard copy and electronic filing system.
• Translates/Interprets when required.
Team management and cross- departmental responsibilities
• Supports the Kitchen Team members in terms of administrative tasks to off- load the work for them
• Works closely with relevant departments to make sure that the Department&039;s adminnistrative tasks are effectively and efficiently performed.
Management and administration
• Respects the resort&039;s policies and procedures in terms of filing, contracting, billing
Hygiene / Personal safety / Environment
• Ensures that the workplace remains clean and tidy
• Ensures respect of the hotel&039;s commitments to the ""Environment Charter"" (energy saving, recycling and sorting waste etc).
• Applies the hotel safety and security regulations (fire hazards etc).

Reports to the Director of Culinary Service

Yêu cầu công việc

Education / Professional experience
• Fluent in English and Vietnamese.
• Advanced reading, writing, and arithmetic skills required. This is normally acquired through a combination of the completion of an Associate’s Degree and three to three years of secretarial experience. Graduate Certificate preferred
Skills / Qualities

• Must be able to read and write to facilitate the communication process.

• Working knowledge of the hospitality industry preferred.
• Must be able to speak, read, write and understand the primary language(s) used in the workplace.
• Computer literate with the ability to learn new software applications
