Job Purpose: To support the incorporation process and after- sales service delivery by ensuring accurate preparation and tracking of legal documents, coordinating with suppliers and authorities, and maintaining up- to- date records in internal systems. This role plays a key part in ensuring timely company formation, smooth service execution, and accurate supplier coordination in line with internal procedures and compliance requirements.
Job Description:
Incorporation Support:
Arrange and track courier shipments for legal documents and incorporation files.
Coordinate with agents, government bodies, and legal consultants for timely processing.
Receive and prepare payment requests for approved supplier invoices.
Update and maintain all company documentation and incorporation records in Salesforce.
Prepare, review, and file incorporation documents with authorities
After- sales Services Support
Record service status and outcomes in Salesforce or other internal systems.
Prepare and review all necessary service- related documents, ensuring accuracy and completeness.
Track service progress, maintain communication with suppliers, and confirm correct and complete delivery of service results.
Receive and prepare payment requests for approved supplier invoices.
Place service orders with suppliers based on instructions from the Service Sales Staff.
Supplier Coordination:
Maintain and regularly update supplier agreements, fee schedules, and document checklists.
Match invoices with purchase orders and payment requests and delivery receipts.
Review supplier invoices for accuracy and completeness.
Keep an up- to- date supplier contact and performance database.
Requirements
Job Qualifications:
Strong accuracy and thoroughness in handling legal documents, contracts, and data entries.
Proficient in Microsoft Office Suite; experience with Salesforce or other CRM systems is an advantage.
Graduating from university with a major in Business Administration, Law or a related field.
Proactive in identifying issues and coordinating resolutions with relevant stakeholders.
Clear and professional communication skills, both written and verbal, to coordinate with external agents, suppliers, and internal departments.
Service- minded attitude and ability to follow up effectively on internal and external requests.
Demonstrates discretion in handling sensitive company and client information.
Need 01- 02 years of experience in company formation, administrative support, or corporate secretarial services is preferred.
Ability to manage multiple incorporation and service tasks efficiently, track deadlines, and maintain proper records.
