Purpose:
The logistics support role ensures smooth and efficient flow of materials, and personnel. The Logistics Support in collaboration with material expeditor, core logistics team, make necessary arrangement, resolve logistical challenges to meet the schedule and ensure timely and efficient delivery.
Responsibility
Coordinating with vendors and related parties (Procurement/maintenance team, QAQC, 3rd parties …) to perform site visit to witness the completion/readiness of orders (if required)
Performing administrative duties, and maintaining accurate records and files of activities.
Preparing weekly expediting plan/report and implementing this plan by working closely with vendors via emails, phone, meetings and site visits (if required)
Tracking and reporting key functional metrics to improve effectiveness.
Monitoring status of all orders closely and proactively informing all related disciplines if there is any potential delivery delay of orders
Liaising with Buyers to get a copy of signed Purchase Orders/Contracts and update them to the Expediting Report
Ensuring that all purchase orders were received and acknowledged by vendors on a timely basis. Be the focal contact point of the company to organize clarification meetings with vendors upon request from stakeholders.
Track shipments and provide updates to relevant stakeholders.
Meeting and collaborating with related disciplines to assess reliability of vendors, and to identify solutions for ongoing problems.
Coordinating with vendors and related parties (maintenance team/QAQC/logistics/store…) in receiving goods.
Being a company focal point in communication with Vendor for timely delivery of material.
Working with related departments to address on discrepancies of orders (over, shortage & damaged).
Transportation Coordination:
Follow up and collect shipping documents, such as bills of lading, packing lists, and customs forms
Resolve transportation- related issues, such as delays, damages, or shortages.
Select appropriate carriers and transportation modes based on cost, time, and specific requirements.
Track shipments and provide updates to relevant stakeholders.
Arrange and coordinate transportation of goods, including scheduling pickups and deliveries.
Documentation and Reporting:
Maintain accurate records of all logistics activities, including shipping document and transportation logs.
Generate reports on logistics performance, such as on- time delivery rates and transportation costs.
Ensure compliance with all applicable regulations and company policies.
Customer Service:
Respond to inquiries from internal and external stakeholders regarding shipment status, delivery schedules, and other logistics- related matters.
Provide excellent service and resolve issues in a timely and professional manner.

Tracking all FCA/EXW Purchase Order
Coordinate with Logistic Partner
Inform any bottleneck issue to TA lead
Close Coordination with material expeditor and core logistic team
Maintain accurate record of all logistic activities
Daily/Weekly Report of Status of Delivery of Material
Requirements
Strong organizational and time management skills.
Proven experience in logistics, transportation, or warehousing.
Excellent communication, negotiation and interpersonal skills.
Strong problem- solving and analytical skills.
Knowledge of logistics principles and practices, Incoterm 2020
Proficiency in Microsoft Office, Ms Teams, SharePoint.
Ability to work independently and as part of a team.
Excellent in English communications.
Good knowledge of supplier management.
2+ year experience in similar (oil and gas industry is advantage)
Bachelor’s degree or higher in logistics, supply chain management, international trade, economics, business administration or a related field (preferred).
