Administrative Coordinator is the operational backbone of the department, providing comprehensive administrative and logistical support to ensure efficiency and organization. This role requires exceptional multitasking abilities, a proactive approach, and meticulous attention to detail to handle a wide range of tasks from scheduling and correspondence to document management and event coordination, thereby enabling the smooth daily functioning of the team.
Key Responsibilities
Communication & Correspondence: Draft, format, and distribute professional emails, memos, letters, and reports. Maintain effective communication channels within the department and with other stakeholders.
Document & Data Management: Create, update, and maintain organized physical and digital filing systems. Handle sensitive information with confidentiality. Assist in data entry, report generation, and presentation preparation.
Schedule & Meeting Coordination: Proactively manage complex calendars, schedule meetings, appointments, and conference calls. Coordinate logistics for meetings, including room booking, agenda distribution, and minute- taking.
Travel & Event Support: Arrange travel itineraries, accommodations, and transportation for staff as required. Provide logistical support for company events, workshops, and team activities.
Administrative & Office Management: Serve as the first point of contact for internal and external inquiries. Manage office supplies, equipment maintenance, and vendor relations. Ensure the office environment is organized and fully functional.
Project Assistance: Provide administrative support for ongoing projects, including tracking deadlines, compiling materials, and facilitating communication among team members.
Yêu cầu công việc
Excellent organizational and time- management skills, with the ability to prioritize tasks in a fast- paced environment.
Minimum of 1- 2 years of proven experience in an administrative, coordinator, or executive support role.
College diploma in Business Administration, Office Management, or a related field.
Strong verbal and written communication skills in Vietnamese and English.
Professional demeanor, discretion in handling confidential information, and a strong service- oriented attitude.
High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools/software.
