Position Summary: As a PA to the CEO cum Legal Assistant, this dual- role position provides high- level executive support to the CEO while also handling legal and compliance administrative tasks. The ideal candidate will possess exceptional organizational, communication, and interpersonal skills, along with the ability to manage confidential and legal matters with discretion. You will be the central liaison between the CEO, legal counsel, internal departments, and external stakeholders.
Key Responsibilities:
• Handle confidential documents, contracts, and legal correspondence.
• Organize executive meetings and corporate events.
• Provide administrative support for legal team activities and maintain legal databases.
• Lead and coordinate with relevant parties on all inspections to ensure the highest level of compliance across the company.• Prepare internal communications, policy documentation, and executive briefings.
• Draft correspondence and respond to emails on behalf of the CEO when necessary.
• Manage confidential matters, including corporate development and business negotiations.
• Maintain accurate legal filing systems for contracts, licenses, and compliance documentation.
• Prepare board materials, reports, presentations, and briefing documents.
• Track legal deadlines (e.g., contract renewals, filings) and coordinate required actions.
• Manage the CEO&039;s complex calendar, including scheduling internal and external meetings.
• Coordinate travel arrangements, itineraries, and expense reporting.
• Assist with reviewing contracts, NDAs, and legal documentation in collaboration with internal/external legal teams.
• Liaise with government bodies, legal advisors, and regulatory authorities.
• Coordinate submission of statutory documents and ensure company compliance.
KEY FUNCTIONS
Executive Support
• Serve as liaison between CEO and departments, partners, and regulators.
• Ensure smooth logistics for meetings, including minute- taking and follow- ups.
• Manage CEO’s daily schedule, priorities, and communications.
Legal & Compliance Administration
• Coordinate submissions to legal counsel and regulatory authorities.
• Track and file compliance documentation (licenses, contracts, etc.).
• Draft and review legal correspondence and documentation under supervision.
• Lead and coordinate with relevant parties on all inspections to ensure the highest level of compliance across the company.
Government & Regulatory Liaison
• Maintain knowledge of evolving legal and regulatory frameworks.
• Assist with permits, licenses, and government relations tasks.
• Ensure compliance deadlines and statutory requirements are met.
Documentation & Records Management
• Assist in preparing board resolutions and meeting documentation.
• Maintain organized legal and corporate records (digital and physical).
• Ensure document confidentiality and proper archival standards.
Travel & Event Coordination
• Plan and execute corporate meetings and events as required.
• Arrange CEO’s business travel, meetings, and accommodation.
Communication & Interpersonal Coordination
• Draft internal and external communication materials.
• Represent the CEO’s office professionally and diplomatically.
