Executive Administrative
Prepare and distribute regular internal and external reports.
Handle daily administrative tasks for Senior Managers.
Coordinate meetings, take minutes, and follow up on actions.
Answer calls, handle inquiries, and resolve issues per department policies.
Schedule and manage calendars, appointments, and travel plans.
Maintain and update the central contract filing system.
Assist in finalizing service agreements as backup for contract support.
Execute special events, projects, and assignments as needed.
Manage records, ensure compliance, and handle information requests.
Business Development Coordinator / Bidding:
Oversee sales process: qualification, proposal, pricing, negotiation.
Understand service lines and value propositions.
Lead client interactions for facilities management.
Liaise with subcontractors for bids.
Research data for bids.
Build prospect database, make cold- calls/emails.
Work with sourcing team for vendor quotes and cost comparisons.
Prepare sales documents, Pre- Qualification Questionnaire, tender returns. Follow bid timelines. Coordinate client clarifications.
Create proposals, presentations with business development team.
Build relationships with key decision- makers.
Onboard new clients (create client/project codes).
