As a Receptionist cum Admin, you will be the first person who contacts employees & customers when they enter the ASUS office. Your primary responsibility is to welcome people, give them instructions around the office, and manage supplies in the office & other admin tasks. You will report directly to the Office Manager & support the Country Director.
What are you expected to do?
Welcoming guests, directing visitors, providing accurate basic information, answering phone calls
Assist with expats leasing apartments and handling rental contracts and supplier contracts.
Greeting flowers: Receive & book flowers as an approval package, record and follow the debt to apply for monthly payment. Preparation for newcomer/termination: Set new or Remove fingerprint; Employee name card; Parking Card (Register/Change information/Cancel)
Transportation management: list of taxi cards and taxi fees.
Receive/send mail and documentaries via post, shipment, or forwarders (Viettel post; DHL), and manage Viettel Post & DHL monthly payments.
Be responsible for payment: manage & apply expat&039;s apartment payments and payments to office suppliers monthly.
Monitor & control pantry: order water; monitor tea lady to ensure working areas are tidy and clean
Manage Notebook storage: Manage and prepare equipment and a laptop for the newcomer, collect the handover form, and update the OA follow list.
Stationery management: Monitor, control, and order stationery monthly according to the department&039;s requirement & fill documents & other office supplies accurately
Meeting room arrangement: Arrange and monitor the meeting room schedule; prepare all related meeting processes from booking; set up the room with all necessary stationery; make sure all equipment is working well; and then inform associated participants.

Good at MS Office.
Willing to go outside to assist with clerical duties such as submitting/notarizing documents, getting VAT invoices, etc.
Honest and Hardworking.
1- 2 years working experience in administration (in a foreign company size 100+ is a big plus);
English Communication Level

Good organizational and multi- tasking abilities.
