Summary of the role:
- The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly
- Working Location: Abbott Representative Office, 02 Ngo Duc Ke, District 1, Ho Chi Minh city
- Has excellent communication and organizational skills and in charge of the day- to- day Receptionist & Office Admin tasks as well as supervising vendors to ensuring office providers in high customer service level
MAIN RESPONSIBILITIES
RECEPTIONIST
Well appearance, work on time, hospitality spirit with internal and external guest.
Handle mails, couriers, faxes, etc. and deliver accordingly for employees. And check Abbott’s mail box at the Building Mail Center Work closely with Building Management for the well working condition, office maintenance, employee & vendor registration related etc.
Receive all incoming calls then forward to the appropriate person
Work with Security to maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor logbook, issue visitor badges)
Provide excellent customer service Ensure reception area is tidy and presentable, with all necessary stationery and material
Manage Tea Ladies to ensure the well- stock of Refreshment & maintain the cleanliness, tidiness and well arrangement for all public areas & inside office
OFFICE ADMIN
Support Line Manager for Staff Purchase logistic arrangement Organizing, arranging, and coordinating meetings as required from Line Manager
Providing general administration support Company Ordering, storing and distributing office supplies.
Making PR/PO & Payment Request to ensure meet timeline & exact figures Work with vendor for conduct Monthly Office cleaning schedule (Pest Control / Disinfection Misting Service…)
Travel booking arrangement for Operation Team as Visa, Flight, Car, Hotel... by follow to Travel Policy Work with Line Manager for planning & execution for Happy Friday / Company activities…
Other ad- hoc task assigned by Line manager.
Prepare in the onboarding process for New Hires Providing general support to Global Visitors (Visa, Flight, Hotel, Meeting room, Lunch...) Support GM Team for admin paperwork related (PO / Payment etc.)
