Residences Administrative Specialist works across to support administrative needs. Whether providing administrative support (e.g., preparing documents using word processing, spreadsheet, database, or presentation software), or serving as the point of contact for vendors, our Administrative Specialist gets the job done. They are critical to ensure smooth operations throughout the entire property.
CRITICAL TASKS:
General Administration
Involve in Human Resources’ activities for Employees
Take and distribute meeting minutes to appropriate individuals.
Handle administrative tasks to ensure smooth operations and employees’ satisfaction.
Handle incoming and outgoing mails.
Open, read, and prepare answers to routine letters.
Locate and attach appropriate files to incoming correspondence requiring replies.
Communication and Administration
Prepare and review letters, memos, and other documents using word processing, spreadsheet, database, or presentation software, verifying accuracy and completeness.
Talk with and listen to other employees to effectively exchange information.
Speak to residents and co- workers using clear, appropriate and professional language.
Answer telephones using appropriate etiquette including answering the phone within 3 rings, answering with a smile in one&039;s voice, using the callers&039; name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.
Collect, develop, and submit content to update property websites on Marriott.com.
Discuss work topics, activities, or problems with coworkers, supervisors, or managers discreetly and quietly, avoiding public areas of the property.
Computers/Office Equipment
Operate standard office equipment other than computers such as telephone, fax, photocopier, calculator, and electronic peripherals.
Enter or revise property information in a variety of Marriott systems
Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservation and answer inquiries from guests.
Transmit information or documents using a computer, fax machine, mail, and other shipping services (e.g. FedEx, UPS).
Working with Others
Support all co- workers and treat them with dignity and respect.
Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality.
Physical Tasks
Enter and locate work- related information using computers and/or point of sale systems.
Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
Stand, sit, or walk for an extended period of time or for an entire work shift.
Policies and Procedures
Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.
Maintain confidentiality of proprietary materials and information.
Follow company and department policies and procedures.
Protect the privacy and security of guests and coworkers.
Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.
