The Safety and Security Executive ensures the safety, security, and well- being of employees and assets across multiple locations, including offices, stores, and warehouses.
This position encompasses a broad range of responsibilities aimed at creating a secure work environment and ensuring that all safety and security protocols are effectively implemented and maintained.
FIRE SAFETY (20%)
Equipment Checks: Perform routine inspections and maintenance of fire safety equipment such as fire extinguishers, exit signage to ensure they are in good working order and ready for emergency use.
First Response Team: Establish and maintain a trained rapid response team to handle fire emergencies effectively. This involves recruiting team members, organizing regular drills, and ensuring all team members are familiar with emergency procedures.
Fire Safety Compliance: Monitor and manage fire safety records, including maintaining and updating fire safety plans and certifications. Ensure compliance with local fire safety regulations and standards across all locations.
Training and Drills: Conduct regular fire safety training sessions for employees at the office, stores, and warehouses. These sessions should cover fire prevention, evacuation procedures, and the proper use of fire safety equipment.
FIRST AID (10%)
First Aid Supplies Management: Oversee the distribution and maintenance of first aid supplies and kits at the office, stores, and warehouses. Ensure that first aid kits are fully stocked and readily accessible to all employees.
First Aid Training: Provide comprehensive first aid training for employees at all company locations. This training should cover basic first aid techniques, emergency response, and the use of first aid supplies.
INCIDENT HANDLING (20%)
Incident Handling Manual: Develop, draft, and regularly update the “Incident Handling Manual,” which provides guidelines and procedures for managing various types of incidents, including emergencies and security breaches.
Staff Training: Conduct training sessions for employees on how to handle incidents effectively, including emergency response, reporting procedures, and communication protocols. Ensure all staff are familiar with the manual and can act swiftly and appropriately in an incident.
INSURANCE MANAGEMENT (5%)
Insurance Research and Renewal: Assist the Admin Manager in mapping current insurance policies and identifying the need for renewal or new plans. This includes assessing coverage adequacy and exploring options for enhanced protection, vendor comparison and proposal.
ACCESS CONTROL (10%)
Access Control Systems: Design and implement access control systems to manage entry and exit points at the office. This includes setting up secure entry systems, issuing access credentials, and monitoring access records.
Security Monitoring: Regularly review access logs and monitor security systems to detect any unauthorized access or suspicious activity. Address any security breaches promptly and adjust access controls as necessary.
ASSET MANAGEMENT (15%)
Documentation: Maintain detailed records of all assets, including acquisition details, maintenance history, and current status. Ensure accurate documentation is available for auditing and reporting purposes.
Asset Labeling and Tracking: Implement and manage an asset labeling system to track and inventory office equipment and assets. Ensure all assets are clearly labeled and logged in the asset management system.
Annual Audits: Conduct annual self- audits to verify the accuracy of asset records and identify any discrepancies or missing items. Update records to reflect new purchases or disposals.
SAFETY AND SECURITY ASSESSMENT (15%)
Procedure Review: Continuously review and update safety and security procedures to reflect changes in regulations, business needs, and industry best practices. Ensure procedures remain effective and relevant.
Travel Safety Assessments: Conduct safety assessments related to employee travel and hotel accommodation to ensure secure and safe arrangements. This may include evaluating travel risks and hotel safety standards.
Safety and Security Reporting: Prepare and submit regular reports on safety and security issues, including incident summaries, safety compliance, and improvement recommendations. Share these reports with the Admin Manager and other relevant stakeholders.
Operational Reviews: Regularly review and assess safety and security procedures within the office, stores, and warehouses to identify potential risks and areas for improvement. Provide recommendations for enhancing safety measures.
