To support Head of Sales, Area Sales Managers and Sales Co-Ordinators by administering the sales information system and provide all other administration services for the sales department and staff.
The Sales Administration Coordinator will be responsible for daily support of retail activities including the processing of purchase orders, compilation of sales reporting, preparing sales materials, and sample processing.
Main tasks:
•Provide secretarial assistance to Head of Sales, Area Sales Managers and Sales Co-Ordinator producing letters, memos, reports, spreadsheets, filing; and general administration for the sales department.
•Record/input sales releases, reservations, master moves, cancellations, exchanges, hand-overs and legal completions onto the sales information system, along with full customer details/choices and produce/post relevant letters and statements and update office (wall) charts as appropriate. Ensure the sales extraction sheets are completed and kept up to date on a weekly basis.
•Manage the invoicing process nationwide at the end of each month coordinating the salesa administration team and ensuring that the sales results will be not affected by operational and System’s constraints.
•Produce weekly and monthly reports for national & area management team within required deadlines. Produce monthly board report spreadsheet and typed report.
•Ensure notice letters are served by cut off time.
•Produce and collate all relevant information for inclusion in the monthly Sales Report.
•At all times comply with company policies, procedures and instructions.
•Contribute to improving the business and enhancing the reputation of the company by putting forward new ideas and by implementing change when requested to do so.
•Support Sales forces on administration work.
•Support Finance and HR teams to evaluate the KPI’s needed for calculation of sales incentives.
•Manage the organization of business trips of sales force according to the Company travel policy
Daily works
•Collecting, organizing, and filing sales orders using knowledge of paper and electronic filing systems.
•Defusing upset customers using interpersonal communication skills
•Using strong attention to detail to enter customer data with perfect accuracy
•Using Microsoft Office Suite to maintain sales figures and create presentations
•Presenting sales figures to senior sales management
•Process purchase orders for retail sales expenditures.
•Compile and report on daily, weekly, and monthly sales numbers.
•Help prepare sales presentations under the guidance of National Sales Director.
•Assess and report on monthly data for market share insights.
•Work with sales team in analyzing monthly sales and marketing data for retailer meetings and internal office month end meetings.
•Learn how to execute trade marketing initiatives and other marketing capabilities in Salesforce to find new customers and drive revenue.
•Help team with any new item set up requirements from the retailers.
•Update any necessary marketing pieces for tradeshows helping with overall preparation (marketing collateral, logistics).
•Help sales team in sending out any packages/requested samples from the office.
