Wood Concept is looking for a passionate and driven Senior Merchandiser for repeat orders who is responsible for overseeing the solid wood furniture production process from start to finish, ensuring that all repeat orders are delivered on time, meet quality standards, and comply with client requirements. The role involves managing order tracking, coordinating between departments (sales, QC, and factories), and proactively resolving issues. This position directly contributes to operational efficiency and client satisfaction by acting as a central communication hub and ensuring clear, actionable updates for all stakeholders.
VALUABLE FINAL PRODUCT: All repeat orders are shipped on time, with full compliance to client requirements, quality standards, and production schedules, while proactively identifying and addressing potential delays to ensure clear communication with stakeholders.
RESPONSIBILITIES:
Ensure all QC photos and reports are collected, verified, and uploaded to tracking systems.
Escalate unresolved issues to management or higher authorities, ensuring timely intervention.
Obtain customer approval for color panels.
Receive spare parts requests, monitor progress, and ensure the requested spare parts are prepared and confirmed on time.
Oversee production stages (e.g., cutting, assembling, packaging), ensuring progress aligns with agreed schedules.
Use this phase to gather all necessary information and ensure a smooth transition to independent management of repeat orders.
Inform sales teams in advance of potential risks or delays, providing clear reasons and proposed solutions.
Identify early warning signs of production delays and proactively address them with the Production Manager and factories.
Consult with the customer to finalize decisions on packaging, labeling, AI, and carton styles, then communicate these specifications to the QC team and factories.
Collaborate with sales teams to address client inquiries about repeat orders, ensuring timely and accurate responses.
Oversee and document the process during the first two shipments to ensure readiness for taking over repeat orders after the second shipment.
Act as the central point of communication to provide order status updates and resolve escalations effectively.
Provide detailed weekly and quarterly reports summarizing key metrics and progress.
Maintain a systematic log of issues, resolutions, and lessons learned for process improvement.
Ensure all order- related data, including QC photos and status updates, is uploaded and maintained in Project Management System or Google Sheets.
Follow up with pre- production samples (PPS) and pilot runs executed by the Merchandiser PD for new orders.
Maintain transparent and organized records of production schedules, client requirements, and factory communications.
Cross- check factory- provided deadlines and escalate potential delays to the appropriate stakeholders.
Track and monitor all repeat orders daily using tools like Google Sheets and Project Management System.
