We need someone who can oversee and take care of “the house”, from the smallest pantry detail to the biggest company payment. Someone who sees what needs to be done before anyone asks. Someone who treats the agency like their own home.
This role is not just administrative.
Your daily quests:
Office & Environment Management
Ensure pantry, housekeeping, office supplies, and overall space are well- maintained.
Maintain a warm, organized, comfortable environment for the team.
Manage plants, cleanliness standards, and overall office aesthetics.
Team Events & Internal Culture
Organize small internal celebrations with taste and thoughtfulness.
Track birthdays, milestones, and important personal updates.
Plan and coordinate company events and internal gatherings (with good aesthetic sense and budget control).
Support team well- being (health leave, special circumstances, etc.).
Financial & Documentation Oversight
Track income and expenses clearly and accurately.
Follow up on receivables from clients (firm but professional).
Maintain contracts, company documents, and compliance paperwork.
Coordinate with external accountants.
Monitor vendor payments and internal reimbursements.
Vendor & External Coordination
Work with suppliers, landlords, and service providers.
Handle negotiations tactfully when needed.
Ensure deliverables and payments are aligned.
Operational Flow Management
Anticipate operational gaps before they become problems.
Maintain internal systems and filing.
Support scheduling and coordination when necessary.
The ideal “agency mom” would be someone:
