Job Purpose & Overview
• Ensuring the smooth functioning of administrative processes within the organization. They oversee various administrative functions, maintain efficient office operations, and support the overall business objectives, streamline administrative tasks, enhance productivity, and contribute to a positive work environment.
Principal Responsibilities
Key Major Activities
General Administration & Facility Management
• Develop and enforce Standard Operating Procedures (SOPs) for asset management, fire safety, document handling, and administrative tasks.
• Ensure workspace hygiene, landscaping, and office maintenance are up to company standards.
• Manage office facilities, utilities, cleaning services, security, and lease agreements.
• Oversee uniforms, working tools, and office supply allocation.
Vendor & Procurement Management
• Select, evaluate, and manage vendors and service providers for cost- effectiveness and quality.
• Monitor contracts, supplier agreements, and service compliance.
• Handle procurement activities, including negotiation, budgeting, and payment processing.
Security & Safety Management
• Ensure compliance with local safety and security regulations.
• Supervise security teams, guest entry, access control, and CCTV monitoring.
• Implement fire safety protocols, quarterly fire drills, and emergency response plans.
Transport & Driver Team Management
• Manage company vehicles, fuel usage, maintenance, and transportation logistics.
• Oversee driver assignments, travel arrangements, and shuttle bus services for employees.
Clinic & Employee Health Services
• Maintain first aid kits and coordinate health check- ups, vaccinations, and safety training.
• Oversee on- site medical clinic operations, ensuring basic healthcare, first aid, and emergency response.
Canteen & Kitchen Management
• Oversee catering services for workers and manage the company- owned kitchen for managers and guests.
• Address employee feedback and implement improvements in food services.
• Ensure food safety, hygiene compliance, meal quality, and contract management with catering vendors.
Office & Project Setup Management
• Manage workspace planning, signage, and new workstation setup
• Lead office renovation, relocation, and facility setup projects.
Front Office & Event Management
• Supervise reception, visitor handling, mail distribution, and customer service.
• Organize company events, meetings, and celebrations.
External Stakeholder Management
• Establish and maintain relationships with the Industrial Park Management Board and local authorities to ensure company operations comply with regulations and administrative procedures run smoothly.
• Manage the receipt and processing of incoming and outgoing official documents with government agencies.
• Represent the company in local conferences and events to strengthen connections and stay updated on relevant information.
