We are seeking a General Office Management Specialist, independently based in Ho Chi Minh City, to support our client in Australia. This role involves managing general administrative tasks, overseeing accounting functions to ensure accuracy in financial transactions, and maintaining effective communication with the headquarters in Australia.
WHAT YOU WILL BE DOING:
Key Responsibilities:
General Office Administration:
Assist with compliance and management of ISO system
Maintain digital filing systems on the company server, ensuring documents are well- organised and easily accessible.
Assist with general invoicing and administrative tasks as needed.
Timesheet Management:
Provide weekly staff timesheets to the General Manager for payroll processing, ensuring data accuracy and compliance with company requirements.
Communication & Phone Manner:
Present strong verbal and written communication skills to effectively liaise with stakeholders and provide clear updates.
Maintain a professional and polite phone manner when dealing with suppliers, clients, and internal team members.
Accounts Receivable:
Manage collections for outstanding AP invoices, contacting suppliers to chase overdue payments.
Generate Accounts Payable (AP) reporting and share with management by the 5th of each month.
Enter supplier invoices into the accounting system with proper coding using specific GL codes.
Notify the team when suppliers are placed on stop credit status due to overdue payments.
Reconcile supplier statements at the end of each month, ensuring all invoices are accounted for and entered into the system.
Bank & Credit Card Reconciliations:
Perform account reconciliations for company bank accounts and credit cards, ensuring all transactions are accurate and up to date.
WHAT WE ARE LOOKING FOR:
Excellent organisational and time- management skills.
Preferred candidates have experience in managing ISO documentation and filing systems.
A professional and courteous phone manner.
Ability to meet deadlines and produce accurate reports.
Experience in office management and administration, with the ability to handle multiple tasks independently.
Great English communnications skills
Strong verbal and written communication skills.
Ability to work independently in a remote setting.
Attention to detail and problem- solving abilities.
Experience with accounting functions and understanding of accounts receivable and payable processes.
